Email configuration - Ionos
To configure your Ionos email account in EXACT.

Gmail are introducing changes in February 2024, the changes affect anyone sending email communications to Gmail accounts. Information on the changes and what actions are required can be found in the Gmail Email Sender Guidelines. We advise you to contact your email or IT support provider to assist with the required changes. Due to the access and configuration required, Software of Excellence are unable to assist with any changes. |
- Have your Email address and email password ready.
- Log into EXACT (as a high enough user), navigate to Configure - Email and SMS Setup.
- Select Other Email
- Enter the Email Address into the Practice Email Address field
- Enter the same into the User Name field
- Enter the email password in the Password field
- To receive email in EXACT, tick Enable incoming email if you do not wish to receive email, untick this box (you can still read your emails outside of EXACT)
Note: Using the POP/POP3 option will move all of the existing and future emails from the mail server down into EXACT and you will not be able to get them back out. Only use POP settings if you’re sure you want your emails to remain in EXACT and not be visible elsewhere. - Enter the Outgoing Mail Server, ticking Use Authentication
Mail Server Ports are:
Incoming imap.ionos.co.uk 993 Outgoing smtp.ionos.co.uk 465
(Try 587 if 465 does not work)
- Click Test Credentials
If this test fails it could be that the password, a mail server/port is wrong or the account requires additional settings to be enabled. Please speak to your IT for further advice. Logging into the account online to confirm the password is correct may help rule out a password issue.
- Click Next until you get to Finish to save the new email details.
- A prompt may appear to change the email in practice information too, click yes (this means all future communications to patients has this updated email address included).
If you use Campaign/Marketing Manager and clicked “Yes” to the prompt mentioned above please let our support team know so that we can register your new email for sending Campaign communications (you will receive an email link from Amazon Web Services to confirm your new email account address) |
