Manually importing the Ministry of Health (MoH) fees into EXACT

The easiest way to upgrade your Ministry of Health (MOH) fees in EXACT is via the download fees button introduced in EXACT 13.897, to upgrade your EXACT see Upgrading EXACT.

Downloading the 2023 fees

Importing the Oral Health Services Agreement Fee Schedule

1. Log into EXACT as any User (if you are not sure, please check with your Practice Manager/Owner and login as ADMIN).
2. Go to File - Payors.
3. Choose your Dental Benefit’s Payor. Ensure it has a 'Payor Type' of OHSA (see below).
   
4. Click the Fee Schedule button then click Import Fees in the bottom left-hand corner.
5. Browse to the position that you have saved the 'MOH Update 2023’ Folder you downloaded, and choose the following file: 'OHSAFees.csv' and click OPEN
6. You will see the following screen – Click YES:
   
7. When Imported – You will see the following screen.
    

Importing the OHSA Exceptional Circumstances

1. Log into EXACT as any User (if you are not sure, please check with your Practice Manager/Owner and login as ADMIN).
2. Go to File - Payors.
3. Choose your OHSA Exceptional Circumstances/High Caries Payor. Ensure it has as 'Payor Type' of OHS Ex.Circ (See below).
   
4. Click the FEE SCHEDULE button, and click Import Fees in the bottom left-hand corner.
5. Browse to the position where you have saved the 'MOH Update 2023’ Folder you downloaded, and choose.
   the following file: ‘HighCariesFees.csv' and click OPEN
6. You will see the same screens as before, and see that the fee schedule has been imported successfully.

Importing the Special Dental Benefits Agreement Fee Schedule

1. Log into EXACT as any User (if you are not sure, please check with your Practice Manager/Owner and login as ADMIN).
2. Go to File - Payors
3. Choose your Special Dental Benefit Payor. Ensure it has a 'Payor Type' of SDS (see below).
   
4. Click FEE SCHEDULE then click Import Fees in the bottom left-hand corner.
5. Browse to the position of the 'MOH Update 2023' Folder you downloaded, choose the file 'SDSAFees.csv' and click OPEN
6. You will see the following screen – Click YES.
    
7. When Imported – You will see the following screen.
    

Importing the Schools and TFEA (decile) Scores for the 2023/2024 Oral Health Service Agreement

1. From the Configure menu, select OHSA.
    
2. Click the ‘Import Schools’ button
3. Go to the location where the MOH files are downloaded
4. Double click on the folder 'MOH Update 2023'.
5. Double click on either ‘SCHOOLS.csv'
6. Click on ‘OK’ to finish
7. Click the 'Import TFEA Scores' button
8. Go to the location where the MOH files are downloaded.
9. Double click on the folder ‘MOH Update 2023’.
10. Double click on either ‘TFEA_SCORES.csv'
11. Click on ‘OK’ to finish

You have now successfully updated your MOH fees, this process has been simplified in EXACT 13.897 with a Download Fees button which performs all of the above for you and in EXACT 13.904 this is all performed automatically.
