Printing, emailing and exporting Patient List search results
After you've run your Patient Lists you have several options available (some dependant on what features you have active in your EXACT).
These options include,
- Email (individual and bulk)
- SMS (individual and bulk)
- Sending letters
- Exporting into a spreadsheet format
Email (individual and bulk)
Contacting lists of patients via email is efficient and effective. You can contact patients on a person-by-person basis or in bulk.
- With a list populated with patients open, click the email icon at the bottom of the screen.
- This will open the Contact by Email wizard.
- Single email, will send to the highlighted patient
- Multiple email, will send to all patients on the list
- Group by family, with family groups, the head of the family will receive one email for all patients in the list
- Tick as complete when emailed, provides you with visual guidance as to who has been emailed
- Select your options as desired then click OK
- The Contact Patients window will open.
- Select your options as desired to limit or remove limits of the patients you wish to contact
- It's often recommended to untick Who have been Contacted, to ensure you contact all patients on the list
- Select your options as desired then click OK
- The Email Details window will open.
- The Provider or Specialist will add those details into any appropriate merge fields in the email template
- Select an Email Template if one already exists
- Category is used in the Contacts tab after sending the email
- You can attach a document using the Attach Document option if required
- Select your options as desired then click OK
- A preview of your email will appear, if you are sending to multiple patients, the To field will be greyed out.
- Add or edit the Subject if required, this is the subject of the email that will be displayed in the patients inbox
- Click Send when all changes are complete, if you are sending to multiple patients, a progress bar will be displayed with patient details as each email is created.
SMS (individual and bulk)
Contacting lists of patients via SMS is efficient and direct. You can contact patients on a person-by-person basis or in bulk.
- With a list populated with patients open, click the SMS icon at the bottom of the screen.
- This will open the Contact by SMS wizard.
- Single SMS, will send to the highlighted patient
- Multiple SMS, will send to all patients on the list
- Group by family, with family groups, the head of the family will receive one SMS for all patients in the list
- Tick as complete when emailed, provides you with visual guidance as to who has been contacted
- Select your options as desired then click OK
- The Contact Patients window will open.
- Select your options as desired to limit or remove limits of the patients you wish to contact
- It's often recommended to untick Who have been Contacted, to ensure you contact all patients on the list
- Select your options as desired then click OK
- The Stagger SMS window will open.
- Send all SMS straight away, will send SMS to all patients in the list en masse
- Stagger SMS sending, will limit the number of SMS being sent at once, this is useful if you are expecting patients to contact you back as it allows for a staggered response and for you team to have time to deal with your patients requests
- The SMS Details window will open.
- The Provider or Specialist will add those details into any appropriate merge fields in the SMS template
- Select an SMS Template if one already exists
- Category is used in the Contacts tab after sending the email

Sending letters
Contacting lists of patients via letter is direct and gets the information into your patients hands. You can contact patients on a person-by-person basis or in bulk.
- With a list populated with patients open, click the envelope icon at the bottom of the screen.
- This will open the Contact Patients wizard.
- Select your options as desired to limit or remove limits of the patients you wish to contact
- It's often recommended to untick Who have been Contacted, to ensure you contact all patients on the list
- Select your options as desired then click OK
- The Document Details window will open.
- Select your Presentation Manager document
- Print will print these in your practice for you and your team to fold, place in envelopes and post
- EasyPost will send a copy to our distributors at EasyPost for them the distribute the letters for you, for this option please ensure you use an EasyPost document. These are highlighted by the red house with envelope icon.
Exporting into a spreadsheet format
If you wish to use your own mailing house or have an alternative reason for creating a patient list, the Export List option will provide you with the Patient List results in a spreadsheet.
Please Note: Exporting a list will include more patient details than the Patient List window displays. Bear this in mind when using a mailing house as this exports confidential patient information you may wish to remove before sending outside of your practice. |
- With a list populated with patients open, click the Export List button at bottom of the screen.
- This will open the Save As option in Windows File Explorer.
- Select a location on your computer to save the export
- Enter a File name for the export
- Selecting the correct Save as type is important as this will alter what functions are available after exporting, .csv will allow you most functions you require as well as this being readable by most spreadsheet programs
- Click Save once all options have been entered
- A progress bar will appear on screen as EXACT exports the Patient List into the chosen file format
There are two print options, Print the selected patient list entry or Print patient list.
Select your desired option to open an options window for printing the information.
This option is not recommended due to the information not updating if patient details are updated.
