Creating and editing Patient List searches
Patient Lists is a feature that can help you find patients that meet certain criteria.
By creating a search, using conditions to establish who you want to appear in the results.

Creating a Patient List search
- Open Patient List via the Administation - Patient Lists - Create New List or the via the Patient Lists workspace icon.
- Select Build New Search.
- Enter a Search Name to quickly identify the list, a Description and a Category, if required.
- You can also select the Instructions button to add a pop-up window to display any information when running the list.
- The next step is to add conditions to the search, select Add to view a list of all available conditions.
- Select the required condition, setting any parameters as required then OK.
- Repeat step 5 until you have selected all required conditions.
- If you require all condition to be met, ensure a Match all conditions is marked
or if you require only one condition out of all the conditions to be met mark Match any conditions.
Tip: If you have made a mistake, highlight the condition then select Edit to alter the condition or Remove to delete the condition from the search.
Tip: Show Advanced Tools gives you access to brackets, these allow you to add condition matching to some conditions and not others).
- Once the search has been created you have the option to Find Patients (this has been replaced by Preview Results from EXACT 13.938, scroll down or click here to find out more about this addition) or Save & Close, these allow you to run the search straight away or save the search for use at a later time.
Previewing a Brand New Search
A preview option has been included from EXACT 13.938, this shows an example of the search results, giving you the option to check you are getting the right results before creating the whole list of patients.
Follow all the steps outlined in the previous section (Creating a Patient List search) until step 8, from this point, select Preview Results to display a selection of patients matching the search conditions. This gives you the option to check your search is correct before searching your entire database of patients.
- Once you have opened Patient Lists and created your search select Preview Results.
- A preview of your search will open.
- Select a patient to view more details and check they match your desired search.
- The search creation window will be open with editing options accessible to change the search if your results are not as expected.
- If your results are as expected, click Find Patients to run the full search.
Searching for a Patient List search
EXACT 13.904 introduced a search function to locate saved searches.
- Open Patient List via the Administation - Patient Lists - Create New List or the via the Patient Lists workspace icon.
- Click into the Search box then type your search into the box.
- The displayed list will reduce down to matching searches.
Editing a Patient List search
- Open Patient List via the Administation - Patient Lists - Create New List or the via the Patient Lists workspace icon.
- Select the Search to edit by highlighting the search.
- Select Details to view the current conditions.
- Edit the Search Name, Description or Category as required.
- Edit any conditions as required, select any required conditions, setting parameters then OK.
- Repeat step 5 until you have selected all required conditions.

Once the search has been edited you have the option to Find Patients or Save & Close, these allow you to run the search straight away or save the search for use at a later time.
Prompt for entries
If this box is checked, every time this query template is used a window will open to prompt the query template user to specify data such as a date or date range.
Tip: Check (tick) this whenever entering a date range as this will enable a user to change the dates each time the report is run. |
Advanced Tools
Age range/Date of birth search conditions
Tip: Upgrade to the newest version of EXACT to gain the search Condition Age, this allows you to enter the age instead of using the information below. |
When searching for dates in Patient Lists, the query D/M/Y is useful to keep lists up to date.
D/M/Y will look at the current Day/Month/Year, therefore using D/M-6/Y will look back six months from the current date.
For example, if today's date is = 01/06/2023, the query D/M-6/Y would use the date 01/01/2023 as the D is the same = 01, the M is -6 = 01, the Y is the same = 2023.
The following are examples of the most common uses of date ranges for the Date of Birth condition.
Patients aged 0-18
The condition you will need to use is: From - D/M/Y-18 To - D/M/Y
Patients aged 18-25
The condition you will need to use is: From - D/M/Y-18 To - D/M/Y-25
Patients aged 25-45
The condition you will need to use is: From - D/M/Y-25 To - D/M/Y-45
Patients aged 45-65
The condition you will need to use is: From - D/M/Y-65 To - D/M/Y-45
Patients aged 65+
The condition you will need to use is: From - D/M/Y-65 To - D/M/Y
