Rooms are an alternative way to manage your appointment book, as opposed to using provider columns, with each room representing a surgery in your dental practice.

Appointment Book Rooms

💡Tip: Rooms are useful for practices with more providers than surgeries, allowing you to ensure a surgery will not be double-booked.

⚠️Note: When using rooms, it is advisable to have your appointment book configured so that only the rooms are visible, as the appointment book shows both in the room and the provider’s column, which can cause confusion.

Configuring Rooms

1. Go to Configure - Appointment Book.
2. Double-click on the appointment book you wish to enable rooms for.
   • Click through the prompts until you are presented with the room scheduling option.
   • Toggle the option to Schedule To Rooms.
   • Then click Next.
3. You will now be presented with your Available Providers, Available Rooms and Selected Columns.
   💡Tip: These settings are also accessible via the configuration spanner on the appointment book.
   • Click the +1 under the Available Rooms section to create a new room.
     • Enter a Name for the room.
     • Select a Provider or click Multiple to select more than one provider that will be working within the room.
     • Set a colour for the room.
     • Click OK once configured.
     • Repeat these steps for any additional rooms that are required.
   • All new rooms will now be listed in the Available Rooms section.
     💡Tip: Highlight a room then click the edit (e|d) button to edit a room.
     
4. Use the right arrows >> to move a room to the Selected Columns and display them on your appointment book.
   💡Tip: Highlight any row in the Selected Columns section then click the remove option (a document with an arrow pointing down) to remove any entry from this section.
   • Use the up/down arrows to arrange the columns, the top option will be displayed on the left of the appointment book.
5. Click Finish when complete, your appointment will now display with the configured rooms.
   

Displaying Providers in one Room

Providers will be displayed in one room by their configured colour.
