Making a provider or user inactive
If you have a provider or user leaving your practice, it is advisable to follow a few housekeeping steps to keep your appointment book tidy and your data safe from unauthorised persons.
We would advise marking users as inactive rather than deleting them from EXACT, this is to ensure the links to any previous user activity (transactions, appointments and charting audit trails) can remain on the system.
Due to the different tasks both user and providers perform, there are different processes for the two.
Providers
Before you do this you will need to make sure that all appointments have been moved across and any treatment claims have been completed. The steps to perform this can be found here: Transfer Patients and/or Appointments to a New Provider (Search and Change).
- Marking the provider as inactive, open File - Providers.
- Select the provider by clicking on the Select a Provider button.
- Highlight the provider then click OK.
- Tick the Inactive checkbox and click Save.
Tip:When you have made a provider inactive, you may need to disable recalls, remove their appointment column and move over any patients and/or appointments. Users
- Go to Configure - User Settings.
- Select the user by clicking on the Select a user button.
- Highlight the provider then click OK.
- Tick the Inactive checkbox and click Save.
Reactivating an inactive user or provider
If a user/provider has returned to the practice or was incorrectly made inactive, the steps below, outline how to make them active again.
Provider
These are the reverse of the steps above, we would strongly recommend checking the provider tabs to ensure the information saved in the Appointments, Wait List and any other tabs is correct then you will need to add the provider column to the appointment book.
