Manually Sending Recalls to Multiple Patients

If patients have not received their recalls via automation or we want to send another recall then we can do that via the Manage Recalls section. You need to start by navigating to the month the recall(s) belong to.

To monitor recall effectiveness go to Administration->Manage Recalls

This will display the Manage Recalls screen showing your recall overview.

Double click the month you wish to action.

The Month View displays the details of its recall patients.

In the bottom right we can see the options for sending communications to multiple patients

You have the option of letter, label, email or SMS. It will send to whichever patients you have on screen as done via the Filter option but will give you the option to filter the list further.

Any communications sent by these methods will be marked in the Prior Contacts section.

Manually printing recall letters for multiple patients

To print letters click on the print letters for patient recalls option

The letters will be generated to everyone the recall list which can be filtered. When choosing the letter contact method you can further filter the list using a query. If you leave this blank it will not filter it any further.

Either scroll up and down to locate a Query Template or select from a pop-up screen:

Once a query has been selected click Ok. You can leave this blank and still continue..

This will display the Document Details window.

Select the template you wish to use and click on Print or send via our EasyPost service click on the EasyPost button.

Manually printing labels for multiple patient recall letters

To print labels click on the print labels for patient recalls option

The labels will be generated to everyone the recall list which can be filtered. When choosing label contact method you can further filter the list using a query. If you leave this blank it will not filter it any further.

Either scroll up and down to locate a Query Template or select from a pop-up screen:

Once a query has been selected click Ok. You can leave this blank and still continue..

This will display the Label Details window.

Select the template you wish to use and click on Print to start printing the labels.

Manually sending recall emails to multiple patients

To print labels click on the send email for patient recalls button.

The emails will be generated to everyone the recall list which can be filtered. When choosing email contact method you can further filter the list using a query. If you leave this blank it will not filter it any further.

Either scroll up and down to locate a Query Template or select from a pop-up screen:

Once a query has been selected click Ok. You can leave this blank and still continue..

This will display the Email Details screen:

Complete the appropriate fields.

Choose an Email template by means of the selectors.

Document attachment options are greyed out unless you first check the Attach Document checkbox. Click any document attachment to see a preview at right.

Click OK to advance to the Create Email screen.

This will preview the email before making the final decision to send by clicking on the send button.

Manually sending recall SMS to multiple patients

To print labels click on the send SMS for patient recalls button.

The SMS will be generated for everyone the recall list which can be filtered. When choosing the SMS contact method you can further filter the list using a query. If you leave this blank it will not filter it any further.

Either scroll up and down to locate a Query Template or select from a pop-up screen:

Once a query has been selected click Ok. You can leave this blank and still continue..

This will display the Stagger SMS screen:

This option is designed not to cause a high unmanageable volume of patients calling in once the messages are sent.

Choose either to Send all SMS straight away or choose to stagger them and then set the delivery times using the +1 option.

You can set how often a message is sent and EXACT will calculate based on those entries when the last SMS will be delivered.

Once you are happy with stagger options click Ok.

Complete the appropriate fields.

Choose an SMS template by means of the selectors.

Click OK to advance to the Create SMS screen.

This will preview the SMS before making the final decision to send by clicking on the Ok button.
