EXACT 24.184 | 02/12/24
- Improvement A warning is now displayed if the [patient.planned.url] template merge field can’t be populated when creating an email or SMS for a patient via the toolbar buttons.
- Issue resolved Fixed an issue where patient notes weren't being saved correctly for cancelled appointments or follow-ups.

Issue resolved Expanded the patient data that’s included in both regular patient merges or patient portal merges. The additional information includes:

- Issue resolved The Statement List now correctly shows patient names in the Details column when a statement is generated.
- Issue resolved Fixed an issue in the Quickbook services list where attempting to remove multiple services would only remove one. Now, all services that are deselected from the Edit window will be removed from the list when the Save and Close button is clicked.

Improvement Short Notice List: Patient preference options have been simplified and streamlined,
users can now select which dates patients can attend, as well as those they are unable to attend.
- Improvement Image Acquisition Scanning App: Removed the button that allows users to enable the new scanner app from the prompt that appears when the old scanning feature fails to scan a document.
- Issue resolved Fixed an issue where EXACT was not charging for 2 instances of the same service with a pricing method of ‘By Tooth’ when the service was charted on a deciduous tooth and its permanent counterpart.
- Issue resolved Fixed an issue where a user logging in to EXACT could cause the registration to expire in cases where there are multiple databases located on the same server.

- Issue resolved Fixed an issue with SMS receipts where the database could become corrupted during updates if the Dental Payment Confirmation template was deleted between versions 24.136 and 24.152.
- Issue resolved Fixed an issue where some patients weren’t being sent campaign or appointment feedback follow-up communications for new appointments after a current appointment was marked as audited.
- Issue resolved NHS England & Wales: Added an upgrade step to set the band for services based on their given clinical dataset category.

Improvement Scanning App: Improvements have been made to the interface and file size information:
- Total number of scanned pages is now displayed.
- Document size is displayed.
- A warning prompt will be displayed when file limits are reached.
- Warnings will be displayed when changing the paper source when the configurations will create large files.
- The scroll bar is now always visible.
- Issue resolved Second Opinion AI: Standard link pages now load as expected when switching between patients.

- Improvement Scanning App: The scanning app messaging when a file fails to send to EXACT has been improved for clarity. A warning message is displayed instructing the user how to manually add the file, and a file explorer window is opened with the correct file highlighted.
- Improvement Scanning App: Improved the refresh functionality when sending scanned documents to EXACT so that documents show up in the Contacts tab more quickly.
- Improvement Added a confirmation message that shows when an email is successfully verified.
- Improvement Campaign Plus: When creating or editing a campaign, clicking the ‘Cancel’ button will now prompt the user to save their changes.
- Issue Resolved Clinipad: Inactive doctors were assigned to a patient when sent to a Clinipad, prepopulating the doctor fields in patient forms. Fields are now left blank if a patient’s doctor is inactive.
- Issue Resolved Fixed an issue where users were able to edit patient files to have blank patient codes. Users are now required to enter a first or family name in order to successfully save their changes.
- Issue Resolved Fixed an issue where scanned documents were being saved to the wrong folder because the date was based on UTC, without accounting for time zone differences. The document save date is now based on the local system date and time.
- Issue Resolved Fixed an issue that was preventing users from being able to click the buttons on EXACT Hub notifications when viewing these on smaller screen resolutions. Also fixed an issue where notifications were misaligned when the appointment book was displayed as a sidebar.
- Issue Resolved NHS: Fixed an issue where incomplete services were being counted in DMF scores.

- Improvement Added an Edit button to the Appointment Information window so users can change an appointment’s cancellation reason.
- Improvement In the Short Notice List header, next to the notes icon, the text ‘Edit’ has been added to make it more obvious that the notes in that column are editable.
- Improvement SMS Receipts: Added a failsafe to disable SMS receipts if SMS has not been configured.
- Improvement Email Receipts: Added a failsafe to disable email receipts if email has not been configured.
- Improvement New Zealand: The SMS unit estimation for NZ has been updated to exclude the standard disclosure statement.

Improvement Image Acquisition Scanning App: Improvements have been implemented for instances when no scanners are found. The app will make the scan button unavailable by greying it out the scan button, hiding the settings panel, and displaying a new, informative error message. Additionally, a refresh button has been added next to the scanner select option.
- Improvement When viewing the thumbnails in the Images tab, the user can now reupload an image to Second Opinion AI by selecting this option from the right-click context menu. The third party link and filename can now also be viewed in the the tool tip.
- Improvement Image Acquisition Scanning App: Added multi-page functionality for flatbed scanners.
- New feature NHS Scotland: Added a new checkbox to the Edit Service item window: ‘NHS DMF restoration or extraction’. The checkbox is disabled for ‘None’ or ‘Full Assessment’ chart graphics. When the checkbox is ticked and the DMF tab is enabled on the TC window the service will contribute to the DMF calculation rules.
- Improvement Notifications now appear in EXACT regardless of whether the EXACT Hub icon or the workspace toolbar are displayed.
- Improvement Updated the links to the Gmail & Microsoft email configuration help articles so that they point to the correct articles. Also fixed an issue with the ‘Sign in with Google’ button so that it displays correctly on smaller resolutions.
- Improvement Added a new security setting (disabled by default) that enables users to cancel appointments that have been marked as F.T.A. (Failed To Attend) by navigating to File > Appointments > Mark FTA Appointments as Cancelled. Alternatively, users can filter appointments by the ‘Failed’ appointment status in the appointment book’s Cancels tab and click the new Cancel button to cancel any F.T.A. appointment.
- Improvement Both appointment and patient notes are now displayed on the Appointment Information screen.
- Issue resolved Reverted a change introduced in V24.153 that caused an issue where an unrecoverable error prevented users from logging in to EXACT workstations.
- Issue resolved Image Acquisition Scanning App: Fixed an issue where scanned documents could not be emailed.
- Issue resolved New Zealand MOH: Email merge fields are now completed when selecting the email option for prior approval forms.
- Issue resolved EXACT no longer crashes when switching between users on the lock screen.
- Issue resolved: A resolution has been implemented that caused email and SMS appointment reminders to fail to send.
- Issue resolved Fixed an issue where the original, linked F.T.A. appointment was deleted when the appointment was rebooked.
- Issue resolved Second Opinion AI: Fixed an issue where new images weren’t being uploaded immediately.

Improvement Improved the receipt printing configuration options in user settings. Users can now select the delivery method and defaults with more granularity, and can set multiple delivery methods to be used by default.

- One new default Email template has been added to EXACT to send to patients when their details are first entered into EXACT.

- Improvement When viewing the thumbnails in the Images tab, users can now copy the image path to the clipboard via the menu options presented by right-clicking the context menu.
- Improvement Second Opinion AI: The file upload status can now be checked in the image tooltip that appears when hovering over a thumbnail in the Images tab.
- Issue resolved Standard link full-screen windows now close every time the patient window is closed.

- Improvement Image Acquisition Scanning App: The app now displays the patient name or specialist code so that users can verify the patient/specialist the document will be saved against.
- Issue resolved Email verification: Email addresses show correctly in both the ‘Update Email Address’ and ‘Verify Email Address’ windows after a user logs in for the first time. Previously, this could be blank if the user was a provider.
- Issue resolved Email verification: Fixed a bug where EXACT attempted to verify an email address that had been removed. Saving a blank email address in contact details under user settings will no longer trigger the verification prompt.

Improvement The image acquisition scanning application has received multiple updates:
- The app no longer requires that items be previewed and scanned to save.
- A 200dpi option is now available.
- Settings are now hidden, only displaying when a new scanner is selected.
- Added a unique icon for the tray and taskbar to distinguish it from EXACT.
- Focus moves automatically to the ‘title’ textbox when the app opens
- The app does not allow ‘Send to EXACT’ to be clicked until a scan is complete.
- Added more useful information to error messages.
- Improvement Updated EXACT Hub notification wording from 'Dismiss' to 'Not now' for improved clarity.
- Issue resolved The configured payor and clinic colours were not displaying correctly on the appointment search window, this has been resolved.

- Improvement Altered the Fullscreen button on Standard Link V2 tabs to restore the minimised fullscreen window if it exists.

New feature Image Acquisition Scanning App: A prompt will display if EXACT has trouble connecting to the practice scanner. This offers practices the option to immediately try a new scanning application, with different and more modern connection options. This can be disabled via a checkbox on the Practice Settings screen.
- New feature The contact methods available in the Short Notice List tab on the appointment book are now interactive. Users can email, send SMS and access the Call Patient feature for each patient listed in the Short Notice List tab.
- Improvement Replaced the word 'Description' with 'Subject' on all the screens relating to email, improving the purpose of this field.
- Issue resolved NHS Scotland: Fixed an issue where the composite supplement warning incorrectly pops up for unsaved chart items at TC time.

- Improvement Added a sortable Payor column to the Short Notice List tab.
- Issue resolved An issue with Windows file association has been corrected. This error would show if a user attempted to open a file without an application associated with it.

- Issue Resolved Crashing and freezing issues affecting the chart history, and the opening and closing of treatment items or editing clinical notes have been resolved.

- Issue Resolved New Zealand: Implemented a workaround for an issue affecting Ministry of Health fees, which were reset to zero daily.
- Issue Resolved Fixed a crashing issue introduced in 24.108. Crashing occurred when launching the Patient List template selection window from some automated communication configurations.

Improvement Password Reset feature:
- Long email addresses will now display without truncation.
- The reset prompt will no longer display for practices without email enabled.
- Issue Resolved Occupation and family members are now included in Patient Portal reset merges, also fixed an issue when auditing family members.
- Issue Resolved NHS Northern Ireland: Fixed an issue where appointments necessitated by trauma were resulting in all charted services covered by capitation incurring a fee. Now, only services 0101, 0111, or 0121 covered by capitation will incur a fee.
- Issue Resolved Fixed an issue where EXACT would upgrade during working hours if the server couldn’t upgrade overnight.

New Feature EXACT notifications: Implemented an EXACT Hub notification service to notify users of EXACT Hub notifications upon login. This is only applicable to practices with access to EXACT Hub.
- Improvement A new only creditors option has been added to the debtor's list report. This enables you to easily identify patients who are in credit.
- Improvement Marketing Manager: Reverted a change implemented in 24.110 so that the title displays the campaign reason when editing existing campaigns.
- Improvement If an appointment is listed in the short notice list, the puzzle icon will also display in the first column of the patient appointment window. Additionally, the appointment information window now shows if an appointment is on the short notice list.
- Improvement The message displayed in the failed internet connection prompt has been updated to provide more information.
- Improvement Was Not Brought status is now reset when dragging, copying or cutting a family appointment to the hold list.
- Issue Resolved An issue preventing practices in Singapore from updating EXACT has been resolved.
- Issue Resolved Fixed an issue where the Exempt Adult counts were not being calculated in the UDA Breakdown report. Also fixed an issue where the Under 5 count was incorrectly including 5-year-olds.

- Attempting to put through a PaySense transaction on unsupported Windows versions no longer causes the email receipt prompt to pop up.

The selection screen that appears when the ‘print' option is chosen has been added to the 'email’ option so users can preview receipts and statements, choose whether family appointments should appear on receipts, and choose transaction parameters for statements.
- Issue Resolved Fixed an issue with provider free time not being transmitted to online booking which prevented patients from booking online appointments. This was introduced in EXACT V24.101.
- Issue Resolved NHS Scotland: Surface material data will now be transmitted with inlays and onlays for courses of treatment before 01/08/2024.
- Issue Resolved NHS Wales: The perio date on risk assessments dates now appears correctly.

Update NHS Scotland Dental Reform Phase 2: For courses of treatment created from 1st August 2024, additional information is required to be sent with claims by the NHS.
- If an A001 exam is charted for a patient over the age of 18, the user must check the DMF tab on the TC dialogue to ensure the correct data has been entered for:
- The Number of teeth requiring restoration or extraction.
- The Total Teeth in Mouth.
- The Highest BPE Score.
- If an A003 exam is charted, the user must enter an unscheduled care treatment reason on the Treatment Reason tab on the TC dialogue.
- Material information is now required on certain services. New services have been created in EXACT for this purpose and can be found in the SDR Reform service category.
- Users will be prompted to enter material information for crowns, inlays and veneers.
- EXACT will display error messages when NHS validation is not met when charting filling services incorrectly to prevent claim rejections.
- If an A001 exam is charted for a patient over the age of 18, the user must check the DMF tab on the TC dialogue to ensure the correct data has been entered for:
- Issue Resolved NHS Scotland: Fixed an issue where a crash could occur when requesting prior approval if the patient had services that did not contain a payor code charted against them.
EXACT 24.97 | 05/08/24
- Improvement Change username: A button has been added to the provider functionality allowing a user to change a provider’s username, creating a new provider record in just a few steps. This feature manages the reassignment of appointments, patients, configuration and settings. It is advised only to run this when no other users are actively using EXACT, which is only visible to admin users.

- WNB patients no longer appear in the arrivals window.

- Improvement NHS: A warning prompt will now appear for non-superusers (including admins) from unticking the VT checkbox for an NHS contract if the contract provider has transmitted one or more claims.
- Improvement NHS Scotland: Updated wording for two GP17 warning messages for clarity of information.
- Issue Resolved Patient address information now displays the yellow highlighting for mandatory information when Address Autocomplete is enabled.
- Issue Resolved Empty NHS bundles can no longer be created.
EXACT 24.84 | 13/07/24
- Issue Resolved System Down: A zero-day vulnerability patch* released by Microsoft was causing the core services for EXACT to crash. This has now been resolved providing improved stability.
(*A zero-day Microsoft patch is one with no prior notification outside of Microsoft). - Issue Resolved When an existing user had the New User Help button enabled and a new user was created from this user, the New User Help button was displayed multiple times for the new user.
- Issue Resolved NHS Scotland: The extensive exam (A001) is now the only examination service that updates the NHS - Last Examination field when TCing a course of treatment.
- Issue Resolved NHS Scotland, Northern Ireland & Isle of Man: Scheduled online NHS Fee events no longer cause charting issues. This issue only affected practices that had a demo database without a practice ID on the same server as their main database.
- Issue Resolved Fix for an issue where Standard Link tabs were not automatically added to the chart tab for all users after a practice subscribed to a product.
- Improvement NHS Scotland: A warning will appear when TC'ing if either C012 or C013 filling services have been charted against NHS rules.

Improvement Password Reset:
- An Email verification process has been added to the Password workflow. Users will be encouraged to verify their contact Email address.

- Issue Resolved SOE Connect: Fixed an issue where practices could not receive Payment Sense payments.
- Issue Resolved Clicking the Remote button in Live Chat was closing the chat window instead of launching the remote support window has been updated to function correctly.

- Improvement The Consents tab in the Patients File has been made accessible even after a practice has decided not to continue with Clinipad. Previously the tab became unavailable once Clinipad was disabled rendering any completed consent forms inaccessible.

Improvement Changed the names of the custom text tabs in Online Booking Web Setup from Cancellations and Complaints to Custom Text 1 and Custom Text 2. If a practice is configuring online booking setup for the first time, Custom Text 2 (formerly Complaints) will show the new Feedback default text.
- Issue Resolved An issue where "This patient has a bank account number recorded" was displayed on the arrival window has been implemented.
- Issue Resolved The New User Help closure process in the inbuilt Cefsharp browser has been updated to reduce memory use and subsequent crashing.
- Issue Resolved A default value causing the patient field to be blank with email attachments when a patient has multiple active email addresses has been altered to display a patient field.

- Issue Resolved An issue was found with the Denplan Assessments Done report reporting incorrect figures due to excluding patients assigned to non-Denplan payors. This has been resolved with any Denplan patients included in the report, regardless of being assigned to another payor.
- Issue Resolved Print icon is now displayed when a prescription is printed immediately after creation.

Improvement The default 'Quick Book Service' controls have been moved from the Appointment Book Setup window to the new Manage Appointment Booking Services window introduced in V24.37. Additionally, the 'Manage Appointment Booking' Services window can now be accessed from the Appointment Book Setup window by clicking the spanner button.

Improvement The 'Email Receipt' feature has received several updates:
- Configuration of the Email template can be completed via Configure - Patient Payments.
- An 'Email Receipt' and 'Email Statement' options have been added to the receipt printing preferences in User Settings:
- If the user has an Email address, the Email will be sent without prompting the user.
- If the patient does not have an Email address, the user will be prompted to print instead.
- If the patient does not have an Email address or Email is not configured in your practice, the print option will be ticked by default instead.
- Updates to the default Email template have been introduced, aligning the template with other default templates in EXACT:

New Feature A new Quick Services configuration button was added to the ‘Edit Appointment’ window. From the ‘Manage Appointment Booking Service’ List window. Users can now:
- Create new Quick Services.
- Add/remove services from the list.
- Edit existing services.

- Improvement Patient Premium UDAs are displayed in the NHS Claimed Versus Paid Report and your NHS Patient Schedules.

Improvement Increased password security with added Forgotten Password functionality. The login screen has a Forgot Password option, which can be used to send a password reset link to the email saved in User Settings.
- The forgotten password option can only be used with unique email addresses.
- The password reset window displays a censored version of the destination email address to assist users who cannot remember the contact email they entered.
- Improvement When refreshing a patient list, the existing patient list name is now used as the default list name.
- New Feature Three new stock item buttons (Add, Edit and Remove) were added to the ‘Patient Payment’ window, so stock items can be managed from the payment window directly.

Improvement The printing and emailing process in ‘Payment Confirmation’ was streamlined. A new, default Payment Confirmation email template has been added to EXACT, and the email option is now checked by default if a patient has an email address enabled. The template can be edited by going to Email Templates or configured using the application.payment confirmation.email template setting.
- Issue Resolved NHS Scotland and Northern Ireland: Fix for an issue where the claim amount and open amount were not showing correctly in the List Claims and View Claim windows.
- Issue Resolved Fix for an issue where users were able to customise the workspace bar without the proper permissions.
- Issue Resolved AUS: An upgrade step was added to add the missing 723 and 724 ADA codes to the new zero tooth services setting, which was causing issues when attempting to claim for associated services.
- Issue Resolved Fix for an issue in the patient Contacts tab where the email sent date would display the draft creation date instead of the date when the email was actually sent. Also fixed an issue where editing a draft email subject would not apply the new changes to the entry in the Contacts tab.
- Issue Resolved Fix for an issue where opening an appointment from the clipboard or hold list would highlight the top most appointment in the Edit Appointment window’s recall list, instead of scrolling to the bottom of the list and highlighting the latest appointment for that patient.
- Issue Resolved The description for recall emails now uses the description of the selected email template instead of defaulting to ‘Recall Email’.
- Issue Resolved HICAPS: Fix for an issue where old provider number records were not being updated correctly.
- Issue Resolved NHS: Fix for a rare issue where COTs that were added to a bundle were not claimed.
- Issue Resolved EIRE, AUS & NZ: Fix for an issue that was preventing the Payor Receipts window from appearing after closing the List Payor Claims window.

- New Feature Patient Lists has received a new search condition Any Appointment by Payor, this functions in a similar way to Any Appointment search condition with an added filter by Payor.
- Improvement NHS The maximum number of payment methods that can be displayed in the NHS Earnings Summary report has been increased from 10 to 50.

- NHS Non-UDA providers (dentists) can be added to a UDA contract without the requirement for DCP details.

- New Feature Patient List searches has a new search condition Failed Appointment Occurence, this allows you to find patients based upon how many FTAs (Failed to Attends) they have on record.
- Improvement NHS Wales: Ortho treatments has had some additional exemptions added, allowing for patients who were exempt at the time of a referral to have their patient charge waived, regardless of assessment date.

The service configuration screen has been divided into separate tabs, allowing you to set exactly the information you need with the option to enter additional information if required, you will now find the following tabs for setup; Chart Item, Advanced Charting, Stock Item, Appt Booking Service, Fees, Notes.
- Issue Resolved Corrected a problem where admin users could not claim ownership of their database when using an improved security password set with CloudAuth.

- Issue Resolved A Copy to Clipboard issue has been fixed, allowing links to be saved to the chart tab appointment.
- Issue Resolved A crashing issue when using Advanced Tools in Patient Lists has been resolved so this no longer causes problems.
- Issue Resolved NHS England: A charting issue with urgent services reverting to Band 2 on the chart screen has been rectified.
