EXACT 13.785 - 16th January 2023

- A change was made to Presentation Manager so that users are now able to preview, save and edit documents. They can also use EasyPost on machines that don’t have Word or have an incompatible version of Word installed, with the caveat that using EasyPost in recall automation still requires Word to be installed on the machine running the automation. Editing templates remains unavailable on machines that don’t have a compatible version of Word installed. To find out more about this feature, read our Presentation Manager 2 article.

NHS England: Fix for an issue where attempting to continue a band 2 COT with a band 2 a/b/c COT would show a “No matching COT found” warning instead of a “COT overlap” warning. Read more about the recent NHS changes.

- Fix for an issue where datetime merge fields were missing from the merge fields tab.
- Fix for an issue where the 'Include completed treatment' checkbox was incorrectly inactive by default.

- Fix for an issue where the OAuth ‘re-authorisation required’ setting wasn’t reset if re-authorisation subsequently passed without user intervention.
- Fix for a server installer issue where the disk space check for database backups would sometimes cause the installer to fail if the database wasn’t on a local drive or if the database path pointed to an empty or non-existent folder.
NHS Scotland: Fix for an issue where tooth notation was applied inconsistently (a combination of permanent and deciduous tooth notation was used rather than deciduous alone) when claiming for maximum service codes charted on deciduous teeth. This caused claim rejection errors E000693 and E000694.
- Fix for an issue where dragging an existing Presentation Manager template from one category to another that was either empty or collapsed would cause EXACT to crash.
- Fix for an issue where the EasyPost buttons weren’t functioning correctly in EasyPost templates that contained a return address. Find out more about EasyPost.
- Fix for an issue where SMS messages were failing to send due to the database service locking the certificate file.
- Fix for an issue where multiple contact documents could be given the same name if they were automatically generated in the same millisecond.

NHS England: Fixed an issue where charting a filling, extraction or endodontic treatment service locked the banding as band 2, preventing users from changing the band for urgent treatment.

- IMPROVEMENT Added a new ‘Registered Dentist’ column to the Chair Time Analysis report, so that the report now contains the appointment provider and the patient’s registered dentist for each appointment. Find out what the Chair Time Analysis report does.
- IMPROVEMENT The 'Login' window that pops up when a workstation cannot connect to a server has been expanded to include a series of troubleshooting steps.

NHS Scotland: The TC window now shows the COT continuation number (if the COT is a continuation) and the claiming dentist’s list number. If the COT is a continuation, the list number shown will be the latest valid number for the provider.

- Fix for an issue where Patient Portal forms completed in September were inaccessible for practices with Windows 11 servers due to a folder name mismatch.

NHS England, Wales & Isle of Man: As the NHS intends to implement validation on bands matching data set categories sent in a claim, O4C band checks have been added when TC-ing a COT to help prevent claims being rejected. A mismatch warning will appear in the following scenarios:
- If a replacement is ticked for a service without a band 2 or 3 data set assigned.
- If a COT has a total band of 1, 2 or 3, but none of the services in the COT have been assigned a category to match.
- If any service in the COT has been assigned a data set category higher than the total band of the COT.
- IMPROVEMENT Several UI improvements to the email setup wizard, including changing the

- Added a new email configuration option to the email & SMS setup wizard, which uses the industry-standard OAuth 2.0 protocol to authenticate users and access email data more securely than the legacy option. If the practice is still using the legacy connection and an Office 365 email address, admin users in EXACT will be prompted to re-authenticate their practice's email address upon logging into EXACT.
- IMPROVEMENT Improved the error message when invalid credentials are entered in the
Change to POP3 Warning

- Removed the InstallAware server installer timeout and reverted the overall chocolatey timeout back to 12 hours (previously 4 hours) to prevent the server installer timing out once an install has begun. This should fix an issue where the workstation installer rolls back to the previous version and leaves a site unable to continue the upgrade or use EXACT.
NHS England & Wales: Fix for an issue where claim codes 9378 and 9379 (decayed teeth and highest BPE sextant) were being incorrectly sent for band 3 treatments before 1st October and were being incorrectly sent for Wales (these claims codes should be sent for England only).
EVOLUTION: Fix for an issue where the Contact List window title hadn’t been translated into Dutch.
NHS England, Wales, Scotland, Northern Ireland & Isle of Man: Fix for an issue where the patient mobile number was partially hidden on general and ortho TC dialogues.

- Fixes for issues with emailing Presentation Manager documents:
- The email attachment picker now filters out draft documents regardless of whether EXAMINE PRO is registered or unregistered.
- The email attachment picker now displays a contact document’s name and file type.
- Contact documents printed using Presentation Manager are now given new and more descriptive filenames when these documents are attached to an email.
- The EXACT window is now maximised when sending an email from within Presentation Manager, if the email wizard is shown.
- The Presentation Manager window is maximised when the 'Continue or finish editing' prompt is shown.
- Fixes for issues with the EXACT Workstation upgrade process:
- The workstation installer now removes some files that were left behind by a previous version and are no longer needed.
- When a workstation is not already updated, double clicking on the EXACT icon will now directs the user to wait for the update, and take steps to make sure that happens rather than giving them a manual install. This will take effect for the upgrade after this version is installed.
- The automatic workstation update will now handle and recover from a locked file error, that would previously cause it to fail.
EVOLUTION: Added Dutch translations for patient notes and contact list windows.

- NHS England & Wales: Patient Experience now supports Revision 10 of the NHS PR form for Wales, and Revision 9 for England. The Welsh form had altered wording regarding the length of personal data being held from 10 to 8 years. The English form also had this wording change, alongside new ‘Opt out’ Email and Mobile number checkboxes added for the patient.
- NHS England & Wales: EXACT and Clinipad now support Revision 10 of the NHS PR form for Wales, and Revision 9 for England. Issues Resolved
- Improved the reliability of the EXACT Server upgrade process by:
- Changing a process that was liable to fail on Windows 7 / Server 2008 servers during the backup step, causing the upgrade to freeze and the system to be left in a ‘not running’ state.
- Performing the disk space check before stopping the services so they don’t have to be restarted if the disk space check failed.
- Reducing the timeout allowed so an automatic update will finish and recover from a failure before a practice starts work in the morning.
- Putting the workstation files in place only after a successful server upgrade, so that the workstation files will always match the server version.
- Removing a step in the install process that could sometimes cause it to stop unexpectedly leaving the system in a not running state.
- NHS Northern Ireland: Fixes for two CliniPad issues. The first resolves an issue with signing part 2 of the NHS PR form. The second no longer enforces a college be entered on the form if the patient was under 18, but not in full time education.

Stage, grade and stability fields were added to the BPE Screen. Users can optionally enter this data and a diagnosis statement if they wish. If entered, this data will be displayed on the patient toolbar (Jira EX-59200).

Relay Service reliability improvements: The relay service can now handle requests from other service more quickly and efficiently so that it doesn’t get overloaded and crash. This in turn makes all the services more reliable.

Added a control to user settings to allow users to turn on or off the boxes that can show x-rays around the tooth chart.

Fix for emails sometimes sending multiple times. Sometime on slow connections the email would time out in such a way that the retry limit was bypassed, Emails should now try a maximum of 3 times after which no further attempts will be made (Jira EX-61029).

X-Ray Audit Report Performance Improvement. The Xray audit report has been sped up by approximately 4-6 times. It has also been decked out with some progress bars so that you can see what stage it is up to. (Jira EX-54935).

The X-Ray Audit Report now allows for grades of A nd N to be correctly classified. Grade A stays in column 1 and N is added to column 3 allowing the report to remain backwards compatible with older data. The report now also shows Exposure information in the details section if this was captured. (Jira EX-60842).

1. Addition of an upgrade process to map services to default SNOMED codes. This upgrade process 2. Addition of default SNOMED codes when a service is charted: the "default" codes for the Service, 3. UI addition to allow viewing and selecting of SNOMED codes from an edit chart item. 4. Update of SNOMED codes when a user changes tooth or surface information for a charted surface. 5. The title of the SNOMED window will show the service code when editing selected SNOMED items 6. The filtered list of codes are automatically shown when clicking into the SNOMED search.
