July 2025
EXACT 25.121 | 07/07/25
Issue resolved Inactive patients on the Capitation Scheme Profile report are no longer counted as total members. Instead, they are counted as members who have left.
Issue resolved NHS Wales: Urgent FTA DAP claims for patients younger than 25 are no longer affected by a bug causing them to be rejected without reasonable cause.
EXACT 25.119 | 02/07/2025
Improvement A prompt has been added to the payor adjustment workflow, asking users if they wish to allocate the adjustment automatically.
- Selecting Yes will allocate the adjustment to the oldest open credit amount.
- Selecting No will leave the adjustment unallocated.
Security Cloud Authentication is enabled by default. Any users without this enabled will be prompted to create a new, secure password after logging in to EXACT for the first time after upgrading to this version.
Improvement Added a provider column to the Debtors List report to highlight accounts where there is a mixed provider balance. The ‘Home phone’ and ‘Work phone’ columns were replaced by a ‘Mobile column’ to make space for the new Provider column.
Issue resolved Prescription records are now updated when emailing prescriptions or dispensary items.
Issue resolved Fixed an issue where the processing of incoming emails would error if the emails contained attachments with names that matched reserved names in Windows.
Issue resolved Fixed an issue where an install would fail if the database directory name indatabases.inicontained trailing dots or whitespace.
Issue resolved Fixed an issue where some instances of EXACT were prompted with a debugging error.
Feature removed Online Booking colour scheme picker has been removed from the Practice Information screen. This functionality is deprecated with the transition to the new online booking functionality with improved accessibility.

Issue resolved Resolved a bug with the Receipt Analysis report not displaying payor receipt corrections for relevant payors.
Issue resolved Fixed an issue where the 'NHS Schedules' button in the UDA Manager was greyed out.

New feature A Reopen button, has been added to Care Manager, allowing rejected COTs to be reopened.
Improvement Several improvements to the Select A Doctor feature:
- Reinstated the +1 and e|d (edit) buttons on the Select Doctor screen returned from Clinipad/s. The doctor's company is now included as part of the filtering criteria when displaying the matching list
- Searching is now available on the Select Doctor screen
- On the Select Doctor screen, type now defaults to ‘Doctor’
- Updated the Company field label to Practice/Company
Issue resolved Fixed an issue where the Denplan form previews appeared blank.
Issue resolved Fixed an issue affecting some sites where Clinipad wasn’t updated after a server upgrade using the installer app.
Issue resolved Fixed an issue experienced by some sites where workstations were forced into an upgrade loop, resulting in a system down.

Performance When the online appointments tab is added, only the necessary online booking data will be preloaded upon opening the appointment book in order to improve performance.
Improvement Care Manager: Users in the assigned section are now split by active and inactive users.
Issue resolved Resolved an issue where patient details weren’t being populated in form requests for family appointments.

Improvement NHS:
- Removed the Orthodontic Therapist option from the DCP Type list in the Details tab of a provider’s file.
- Dental Technicians now appear in the DCP Type list in the COT TC window.
Issue resolved Fixed an issue with Second Opinion AI where the full-screen window displayed an incorrect patient or a blank screen.
Issue resolved Odontogram charts now display all services in Presentation Manager.
EXACT 25.95 | 03/06/25
New Feature A Labwork tab is now available in the Activity bar on the appointment book, displaying the state of all future labwork appointments. The tab entries can be filtered to show just the Required (awaiting labwork) or Ready (labwork has been returned) appointments.
Improvement Added a warning to the Search and Change wizard, which will appear if other users are logged in to EXACT.
Improvement Removed the Update button from the Medicare Card Details window.
Issue resolved An Intermittent crashing issue, caused by family appointments when opening the Edit Appointment window in the appointment book, is now resolved.

Improvement Added new colour options for pop-up notes:
- Red
- Light Grey
- Dark Grey
- Cyan
- Orange
- Violet
Improvement A Notes section has been added to the Software tab of the Help - About window.
This could be used to make notes of important information such as the location of the server computer in your practice, which computer Clinipad is installed on or other data.
Issue resolved Family Appointments: Double-clicking a family member on the Edit Appointment window now changes patient.

Improvement Short Notice List: If a patient only has a mobile number, clicking on the number in the Short Notice List tab opens a new prompt allowing the user to send an SMS or call the patient on their mobile.
Improvement New Zealand: An SMS Home tick box has been added to patient details and Search and Change, to allow searching for patients with more than one mobile number.
Update New Zealand: Reverted to the June 2023 Ministry of Health approval form.
Update The Denplan Care Contract Assessment Form has been updated. Changes include:
- Added a 'prefer not to say' gender field
- Added patient email and phone fields
- Fee Cost is no longer displayed on the form
Improvement Doctors company and phone number is now displayed on the patient record in the Medical tab, if a Doctor has is selected.
Improvement Quick chart menu configuration has been added to the service list setup wizard.
Improvement Standard link tabs load in the background when the Chart tab is opened to minimise wait times.
Improvement A flashing alert has been added to the Second Opinion AI tab when an image has been processed and is ready to be viewed.
Security Cloud OAuth now provides a unique session when logging in to EXACT, allowing seamless logins by individual users. For example, all users can now log in to Second Opinion AI using their EXACT credentials.
Issue resolved Eire: Fixed a crashing issue caused by payor transactions.
Issue resolved Fixed an issue where an exception could cause the new server installer to fail if the staging folder was being accessed by another process.
Issue resolved Fixed an issue where the provider field was not populated when an appointment was copied to the clipboard.
Issue resolved Fixed an issue where loading a UDA contract via Administration > NHS > UDA Manager… displayed incorrect ‘Disputed’, ‘In Progress’, ‘Unresolved’ and ‘Unsent’ UDA information.
Issue resolved Fixed an issue with the Second Opinion AI flashing alert, where preloading set the image as viewed as soon as the tab was loaded in the background.
Issue resolved Fixed an issue where users who remain logged in to EXACT overnight could receive an 'upgrade EXACT' message, and trigger an upgrade during work hours. Messages now have a short expiry time.

Improvement to NHS Clinipad forms:
- England and Wales: Expanded the explanatory text for the Universal Credit option.
- England and Wales: Removed the NHS Tax Credit exemption option.
- Northern Ireland: The 'I am on the list of another dentist' and 'Providing treatment on referral' options are no longer mutually exclusive.
New feature Users can now display the payment transaction/receipt comments on the Receipt Analysis report.
Improvement Standard links (including Second Opinion) now preload in the background as soon as the 'Chart' tab is clicked on the patient screen.
Issue resolved Instant messages are now cleaned up in all instances.
Issue resolved Fixed an issue where including illegal characters when changing the description of contact files resulted in EXACT being unable to find the file.
Patch Addressed an issue where COT lines were duplicated in some cases.

Improvement Short Notice List: Appointments that have a ‘Do not offer gaps earlier than’ date that is outside of the Short Notice Period, then add the appointment in the ‘Do not contact’ list.
Improvement NHS, Contract Rollover: Added a warning message when manually rolling over a contract only containing inactive providers.
Issue resolved Fixed an issue in the Payor schedule where the Addition Fee per arch text was incorrect.
Issue resolved Fixed an issue where the column headings in the Appointment Workflow Compliance report weren’t being copied across additional pages.
Issue resolved Fixed an issue with payor payment allocations so that overpayments are allocated correctly.
Issue resolved Provider is Leaving: Fixed an issue where the warning messages were not displaying when expected.
Issue resolved Addressed an issue where outgoing and incoming emails were being duplicated on a particular site.

Improvement Provider is Leaving: Added warnings in the event that the provider has future appointments, the user is not reassigning the appointments and the user is trying to mark the provider as inactive.
Improvement NHS Contract Rollover: Inactive providers are no longer rolled over to new contracts.
Issue resolved Fixed an issue with new patients created via Online Booking where their SMS Mobile checkbox was not being ticked automatically.
Issue resolved Fixed an issue with the positioning of the limit payor fee rule.

Improvement NHS Northern Ireland: Updated the text on the warning message that appears when either H&C or CHI numbers are missing for a patient at TC time to reflect that this is now mandatory.
Improvement Updated the text of the recall monthly view filter from ‘Who are due for one of these recall types’ to 'For one of these recall types’ for clarity.
Improvement NHS Northern Ireland: The warning message that appears when either H&C or CHI numbers are missing for a patient at TC time is now mandatory. Users cannot process the claim until one of these details has been entered for the patient.
Improvement We now display a warning dialog when a user ticks the checkbox to inactivate a provider. The dialogue encourages the user to try and use the new ‘Provider is Leaving’ feature. Note: this is tied to a new setting provider.inactive checkbox warning.enabled, which is enabled by default.
Issue resolved Added country context to the remote support launcher, ensuring the region is set correctly at launch. Also removed the auto launch when only one support agent is available in the region.
Issue resolved Patient List: Fixed an issue when using the birthday query where if the From Date (Day/Month) was greater than the To Date (Day/Month) some patients who met the criteria would be excluded from the list.
Issue resolved Fixed an issue where voided completed treatments were incorrectly moved to the Misc. tab.

Improvement Clinipad: Improvements have been made to the doctor’s flow in Clinipad, where fields are now available to capture and display the patient's entered doctor details.
New feature Provider is Leaving: Introduced a new feature that is accessible to admin users on the Provider File and is intended to help manage all the required tasks when a provider leaves the practice.
Issue resolved Clinipad: An issue has been resolved where the doctor and emergency contact details entered on a Clinipad were not saved to EXACT with the patient setting 'Have patient sign medical history in surgery' enabled.
Issue resolved Short Notice List: Fixed an issue where the Short Notice List would crash EXACT when an appointment book that contained no providers or rooms was present.
Issue resolved Fixed an issue where the eDental config file wasn’t being installed by the new server installer.
Issue resolved Patient Portal: Fixed an issue where the incorrect form type was stored for FP17PRW forms.
Issue resolved Fixed an issue where receiving an instant message when viewing the New User screen or receiving a Task alert would crash EXACT if Windows Notifications were enabled.

Issue resolved Change username: We have restricted the feature from running (via warning dialogue) when the user does not have access to the rollback folder, as no rollback file can be created without access to the folder.
Improvement Added a user-level opt-out for EXACT Hub notifications.
Issue resolved NHS England: Fixed an issue with band 2 not calculating the correct UDAs if services were charted on the same deciduous and permanent tooth.
Improvement NHS Wales: F.T.A. FP17 claims no longer require exam codes.
Issue resolved Fixed an issue where deleted patients appeared in patient searches after a Delete Aged Data operation was run.
Issue resolved Fixed an issue where creating an appointment using the ‘Create Next Appointment’ option was populating the new appointment with the previous appointment’s data.
Issue resolved Fixed an issue where Presentation Manager documents couldn’t be previewed or generated if merged patient, provider or specialist data contained a pipe character (|).
Improvement Updated the User Activity report so you can set the patient and activity criteria independently.
Issue resolved Northern Ireland: Fixed an issue where ticking ‘Under the care of another dentist’ deselected ‘Treatment on referral’.
Issue resolved Fixed an issue with family appointments where the creation user and date were overwritten when the appointment was edited.

New feature Short Notice List: Simplified the user interface by collapsing ‘Dates patient can’t attend', ‘Do not offer gaps earlier than date’ and 'Notes’ into an expandable section.
New feature Added a new User Activity report to show user activity audits. This can be found in Reports under Practice Management.
Performance Marketing Manager: Removed the group by family calculation from the campaign dashboard as this was causing performance issues.
New feature Added a button that allows V2 standard links to be launched in a separate browser.
Issue resolved New Zealand: Fixed an issue where SMS status was not being updated.
Issue resolved Fixed an issue where appointment notes were not saving for cancelled past appointments.
Issue resolved Fixed an issue where the SMS delivery status was not updated.

EXACT 25.25 | 24/02/25
Issue resolved Fixed an issue where adding details to an existing task and clicking the X button in the top-right corner of the Task screen didn’t save the new details. New details are now saved when clicking either the X button or the Close button.
EXACT 25.21 | 17/02/25
Update Email NHS O4C: Updated the New Style NHS Estimate (soestd1.424). The ‘Contractor's Name’ field has been changed to Clinician and the treatment provider has been added to the end of each treatment line.
Improvement The Laboratory pop-up has been simplified. The 'expected date' and 'cost fields' have been removed, and 'laboratory code' is a simple drop-down menu.
The pop-up window will not show if:
- The specialist list contains no labs
- The specialist list contains only one lab – this will be used as the default lab
- The user has enabled the new ‘Hide Labwork Popup’ setting in User Setting
Improvement Email verification can be triggered manually by clicking the new Verify Email button in the Contact Details window found in User Settings. A checkmark or cross next to the email field displays the verification status.
Issue resolved Resolved an issue where dragging an appointment that contained multiple services with no time from the Short Notice List tab was adding unnecessary co-duty blocks.
Issue resolved Fixed an issue where family appointments were disappearing from the appointment book on the day of the appointment. This only affected family appointments that were created via the ‘Create Next Appointment...’ option in the context menu to copy an appointment to the clipboard and edit it from there to create a future family appointment.
Issue resolved Image Acquisition Scanning App: Fixed an issue where any characters after a space in a patient's or specialist’s name weren't being displayed in the Contacts tab, i.e. ‘Sarah A’ and ‘Sarah B’ would both show as ‘Sarah’.

Improvement NHS England and Wales: New checks have been added at the point of TC'ing for England and Wales to warn if banded treatments (bands 1, 2, 3, or 4) are present with non-banded items such as issue prescription, repair of denture, repair of bridge, arrest of bleeding, or removal of sutures.
The checks are warnings and won’t block users from proceeding without making amendments.
Improvement NHS Wales: If Issue of Prescription is the only non-banded item with a banded item, a warning will only pop up if items with the following clinical dataset categories are missing:
- Antibiotics
- Oral Hygiene Mouthwash
- Oral Medicine Mouthwash/Sprays
- Analgesics
- Antifungal/Antivirals
- Anxiolysis
- Artificial Saliva Products
- Dietary Changes Agreed

Update Gmail Authentication is enabled by default.
New feature SMS receipt sending has been enabled for all practices.
Performance The Delete Aged Data tool has been improved and searching for patients is now substantially faster for practices that have deleted many old records.
Improvement Removed the option to include family member appointments when sending receipt confirmations.
Improvement Printing email details now displays more information about the email, not just its contents.
Improvement Made improvements to the COT display on the booking window:
- Chart Tab COT colours now match the COT colours in the appointment workflow dialogue
- The Appointment Workflow dialogue opens the currently selected COT in the chart tab
Improvement Short Notice List:
- Updated the Automatic Short Notice List logic when selecting the ‘any available dentist/hygienist option’. Gaps for the booked provider will be prioritised and be offered first.
- Added “Don't Book Before Date” to the SNL pop-up window, so that SNL won’t offer gaps before a set recall date.
- Appointments can now be booked with any available provider.
- Updated the default SMS short notice list templates (·GAP AVAILABLE and ·GAP CONFIRMED) with new merge fields;
- Hi [patient.firstname], an earlier [patient.shortnoticegap.dentisthygienist] appt on [patient.shortnoticegap] has become available. If this is convenient please reply 'book'. [practice.name]
- Hi [patient.firstname], thanks for responding. Your [patient.shortnoticegap.dentist/hygienist] appointment has been moved forward to [patient.shortnoticegap]. See you then.
Improvement Appointment Workflow:
- Added a new setting, ‘patret.dentist.okcancelbuttons', which is off (0) by default. When enabled, the Close button on the Appointment Workflow window will be hidden and replaced by ‘Continue’ and 'Dismiss’ buttons. Clicking Continue will only action the data in the window after validation; clicking Dismiss will not action the data or carry out any validation.
- The expected length value entered on the Appointment Workflow window will now be copied back to the appointment length field in the chart when the window is closed.
Issue resolved Image Acquisition Scanning App: The app now uses local time (not UTC) to store files, this prevents confusion about where the files are stored on month boundaries in southern hemisphere regions when the time zones do not match.
Issue resolved NHS:
- Added some prompts to choose which provider for use in Clinipad forms GP17PR Part 1 & 2 and FP17PR.
- Fixed an issue where the GP17PR signee wasn’t populated in the TC exemption window.
Issue resolved NHS Scotland: Fixed an issue where a continued course of treatment didn’t respect the acceptance date of the original COT, so the Under 26 exemption didn’t clear the patient charge on a continuation case if the patient turned 26 between parts 1 and 2.
Issue resolved Fixed an issue where the user setting ‘Show the first available appointment time' could not be toggled for individual users.
Issue resolved Fixed an issue where EXACT would sometimes crash when arriving patients.
Issue resolved Fixed an issue where some users using cloud authentication were able to log in to EXACT with a blank password.
Issue resolved Fixed an issue where some practices where experiencing issues when launching Presentation Manager 2. PM2 now uses Aspose version 23.8 instead of 23.9 to avoid problems with the licensing.
