March 2025
EXACT 25.38 | 12/03/25
- New feature Short Notice List: Simplified the user interface by collapsing ‘Dates patient can’t attend', ‘Do not offer gaps earlier than date’ and 'Notes’ into an expandable section.
- New feature Added a new User Activity report to show user activity audits. This can be found in Reports under Practice Management.
- Performance Marketing Manager: Removed the group by family calculation from the campaign dashboard as this was causing performance issues.
- New feature Added a button that allows V2 standard links to be launched in a separate browser.
- Issue resolved New Zealand: Fixed an issue where SMS status was not being updated.
- Issue resolved Fixed an issue where appointment notes were not saving for cancelled past appointments.
- Issue resolved Fixed an issue where the SMS delivery status was not updated.
February 2025
EXACT 25.25 | 24/02/25
- Issue resolved Fixed an issue where adding details to an existing task and clicking the X button in the top-right corner of the Task screen didn’t save the new details. New details are now saved when clicking either the X button or the Close button.
EXACT 25.21 | 17/02/25
- Update Email NHS O4C: Updated the New Style NHS Estimate (soestd1.424). The ‘Contractor's Name’ field has been changed to Clinician and the treatment provider has been added to the end of each treatment line.

Improvement The Laboratory pop-up has been simplified. The 'expected date' and 'cost fields' have been removed, and 'laboratory code' is a simple drop-down menu.
The pop-up window will not show if:- The specialist list contains no labs
- The specialist list contains only one lab – this will be used as the default lab
- The user has enabled the new ‘Hide Labwork Popup’ setting in User Setting

Improvement Email verification can be triggered manually by clicking the new Verify Email button in the Contact Details window found in User Settings. A checkmark or cross next to the email field displays the verification status.
- Issue resolved Resolved an issue where dragging an appointment that contained multiple services with no time from the Short Notice List tab was adding unnecessary co-duty blocks.
- Issue resolved Fixed an issue where family appointments were disappearing from the appointment book on the day of the appointment. This only affected family appointments that were created via the ‘Create Next Appointment...’ option in the context menu to copy an appointment to the clipboard and edit it from there to create a future family appointment.
- Issue resolved Image Acquisition Scanning App: Fixed an issue where any characters after a space in a patient's or specialist’s name weren't being displayed in the Contacts tab, i.e. ‘Sarah A’ and ‘Sarah B’ would both show as ‘Sarah’.

Improvement NHS England and Wales: New checks have been added at the point of TC'ing for England and Wales to warn if banded treatments (bands 1, 2, 3, or 4) are present with non-banded items such as issue prescription, repair of denture, repair of bridge, arrest of bleeding, or removal of sutures.
The checks are warnings and won’t block users from proceeding without making amendments.
For Wales: If Issue of Prescription is the only non-banded item with a banded item, a warning will only pop up if items with the following clinical dataset categories are missing:- Antibiotics
- Oral Hygiene Mouthwash
- Oral Medicine Mouthwash/Sprays
- Analgesics
- Antifungal/Antivirals
- Anxiolysis
- Artificial Saliva Products
- Dietary Changes Agreed
EXACT 25.3 | 22/01/25
- Update Gmail Authentication is enabled by default.
- New feature SMS receipt sending has been enabled for all practices.
- Performance The Delete Aged Data tool has been improved and searching for patients is now substantially faster for practices that have deleted many old records.
- Improvement Removed the option to include family member appointments when sending receipt confirmations.
- Improvement Printing email details now displays more information about the email, not just its contents.

Improvement Made improvements to the COT display on the booking window:
- Chart Tab COT colours now match the COT colours in the appointment workflow dialogue
- The Appointment Workflow dialogue opens the currently selected COT in the chart tab

Improvement Short Notice List:
- Updated the Automatic Short Notice List logic when selecting the ‘any available dentist/hygienist option’. Gaps for the booked provider will be prioritised and be offered first.
- Added “Don't Book Before Date” to the SNL pop-up window, so that SNL won’t offer gaps before a set recall date.
- Appointments can now be booked with any available provider.
- Updated the default SMS short notice list templates (·GAP AVAILABLE and ·GAP CONFIRMED) with new merge fields;
- Hi [patient.firstname], an earlier [patient.shortnoticegap.dentisthygienist] appt on [patient.shortnoticegap] has become available. If this is convenient please reply 'book'. [practice.name]
- Hi [patient.firstname], thanks for responding. Your [patient.shortnoticegap.dentist/hygienist] appointment has been moved forward to [patient.shortnoticegap]. See you then.

Improvement Appointment Workflow:
- Added a new setting, ‘patret.dentist.okcancelbuttons', which is off (0) by default. When enabled, the Close button on the Appointment Workflow window will be hidden and replaced by ‘Continue’ and 'Dismiss’ buttons. Clicking Continue will only action the data in the window after validation; clicking Dismiss will not action the data or carry out any validation.
- The expected length value entered on the Appointment Workflow window will now be copied back to the appointment length field in the chart when the window is closed.
- Issue resolved Image Acquisition Scanning App: The app now uses local time (not UTC) to store files, this prevents confusion about where the files are stored on month boundaries in southern hemisphere regions when the time zones do not match.

Issue resolved NHS:
- Added some prompts to choose which provider for use in Clinipad forms GP17PR Part 1 & 2 and FP17PR.
- Fixed an issue where the GP17PR signee wasn’t populated in the TC exemption window.
- Issue resolved NHS Scotland: Fixed an issue where a continued course of treatment didn’t respect the acceptance date of the original COT, so the Under 26 exemption didn’t clear the patient charge on a continuation case if the patient turned 26 between parts 1 and 2.
- Issue resolved Fixed an issue where the user setting ‘Show the first available appointment time' could not be toggled for individual users.
- Issue resolved Fixed an issue where EXACT would sometimes crash when arriving patients.
- Issue resolved Fixed an issue where some users using cloud authentication were able to log in to EXACT with a blank password.
- Issue resolved Fixed an issue where some practices where experiencing issues when launching Presentation Manager 2. PM2 now uses Aspose version 23.8 instead of 23.9 to avoid problems with the licensing.
