Fill Appointment Book Gaps Using the Short Notice List
The Short Notice List can be used to fill gaps in your appointment book directly from the appointment book columns.
Filling Appointment Book Gaps
- Open your appointment book.
- Hover your mouse cursor over an available gap.
- This must be within the Short Notice period (maximum of 5 days ahead).
- At least one patient in the Short Notice List must meet the criteria to be suitable for that gap, i.e. appointment length and the appointment with same provider.
- The puzzle icon will be present if a Short Notice List patient could fill the space. Hover your mouse cursor directly over the puzzle icon to display a detailed tooltip.
💡Tip: The tooltip lists patients from the Short Notice List who fulfil the criteria to be suitable for the gap. - By default, all appointments are ticked, and an SMS will be sent to these patients when you click the Send SMS button.
- If you do not want to send SMS a patient, click the tick symbol to change it to an unchecked box.
⚠️Note: The toggled state holds only for this mouseover event, so if you move your cursor away and back over the fill gap icon, all appointments will be ticked again.
- If you do not want to send SMS a patient, click the tick symbol to change it to an unchecked box.
- To stop an appointment being available, or to postpone the appointment's availability, click on the numerical value to the right then adjust the Don't Contact for value.
- Click the Send SMS button to send SMS to the ticked patients.
- SMS will now be sent to these patients within your configured default interval (default of 5 mins apart) as specified at bottom left of the tooltip.
⚠️Note: While patients are being contacted, their names will not be displayed in the Short Notice List to stop them from being contacted for another gap at the same time.
