Denplan Care & Denplan Essentials setup
This article has been create to configure your Denplan Care and Denplan Essentials plans.
Denplan Care Setup
- File - Payors.
- Select +1 (you may need to be logged in as an EXACT admin user to access this screen).
- In the following fields, enter the corresponding information:
- Code: DENPLAN
- Description: Denplan Care
- Select This payor sets both service fees and payor's portion.
- Set Payor Type as Denplan.
- Click Bands Setup button.
- Click +1 to add bands.
- Add the Band Names from A through to E (less if needed).
- Selecting the equivalent Denplan Fee Codes from the dropdown option.
- Add the monthly fee amount supplied by Denplan.
- Once completed, restart EXACT for the changes to take effect.
- After restarting your Denplan payor is configured and ready to be used.
Denplan Essentials Setup
- File - Payors.
- Select +1 (you may need to be logged in as an EXACT admin user to access this screen).
- In the following fields, enter the corresponding information:
- Code: DEN-ESS
- Description: Denplan Essentials
- Select This payor sets portion and patient discount, setting the discount to 0%.
- Set Payor Type as Capitation Plan (not Denplan).
- Click Bands Setup button.
- Click +1 to add bands.
- Add the Band Names from A through to H (less if needed).
- Add the monthly fee amount supplied by Denplan.
- Select OK until on the initial Payor window, then click the save icon.
- We now need to create some Denplan service.
Go to the configure menu along the top of EXACT Configure - Services. - Then click +1 in the bottom right corner.
- In the Categories box (lower right), select the Insert a Service Type into the list button (next to the categories box.
- Press +1 to create a new service category.
- Give this category the Description Denplan Essentials then press OK.
- Select OK, the category will now be selected (if not select this, the row will be highlighted) the press OK.
- Now create the following services, be sure to add all of the services to the Denplan Essentials service category you just created. Only add the codes you require.

- In the Service Code field at the bottom of the window, enter the name of the first code, eg EXAM DEN-ESS A (the search is not case-sensitive).
- Edit each new Denplan Essentials service that requires a rule by double clicking each service
- Then click the Add Rule button.
- Select Test service by time, this will default to a rolling 12 month rule.
- Double-click the rule and add in the same service code and how many times it can be charted before the rule is broken (eg. if a patient receives two of this service within one year, enter 2).
- Click OK.
- Beside the text If a service occurs within 12 months are a number of icons.
Select an icon (to the left of else) you wish it to show on the chart when the rule is broken, a cross is the most common icon.
I.e if i wanted to prompt a Red Cross icon if EXAM DEN-ESS A is charted more than twice it would be set and look like the below.
- Denplan may provide free services on a Calendar 12 month period but EXACT can only currently set it for a rolling 12 month period.
- Repeat this for all of the services. Once completed, restart EXACT for the changes to take effect.
- After restarting your Denplan payor is configured and ready to be used.
