Creating a new campaign
To create a new campaign to run, follow the steps below:
- Navigate to Administration - Marketing or via the Marketing widget in the workspace.
Any existing campaigns will be displayed, with their current status. - To create a new campaign click the +1 in the lower right.
- You will be presented with options to select campaign types, design and sending options, these are explained in more detail below.
Campaign Types
One-off
A one off campaign is any information you only want to send to your patients ONCE.
This type of campaign will have one contact list and will only send to those patients and will NOT be sent again to any new patients meeting the contact list criteria.
Campaign examples:
- Practice updates
- New provider intros
- Time limited promotions/offers
- Newsletters
Continuous
A continuous campaign is an ongoing campaign. We will create a contact list for the campaign and this will run through EVERYDAY and SEND AUTOMATICALLY to patients as soon as they meet the contact list criteria.
Campaign examples:
- Happy Birthday Messages
- Treatment Aftercare/ Pre-op Advice
- New Patient Welcomes
- Feedback requests following an appointment
Patient Reset Interval
This is how to set how often a patient is contacted by the campaign.
Please Note: This will only apply if you have selected a continuous campaign. |
If you keep the reset interval as 12 months, this means that the patient's campaign will only receive the campaign media ONCE in a 12 month period, no matter how many times they meet the patient list criteria of the campaign.
Usually we would keep this set to 12 months but keep in mind, some patients may not receive the media if they meet the campaign contact list criteria more than once in the 12 months.
Example: If you have extraction aftercare set up and a patient has 2 extractions in a 7 month period. They will only receive the aftercare email on their first extraction, NOT the second. Please contact a member of the marketing team if you are unsure about this.
Campaign Design and Sending
We strongly advise you to select Automated for this option, to enable a campaign to run behind the scenes, allowing you to continue with your daily tasks while your campaign is attracting customers into your practice.
Campaign Reason
Selecting one of the options from the drop-down menu will allow you to set a reason for the campaign. We recommend using either Product & Service Information or Promotion or Important Notifications from the list. Use the options below to learn more about each reason:
Product & Service Information or Promotion
This is the best option for any marketing campaigns that require GDPR and/or Marketing Consent.
Please Note: This option is will only send to patients who have OPTED IN for Marketing consent. Read our help article on marketing consent for more information. |
Some examples for the use of this campaign reason:
- Promotions/Special Offers
- Membership plans
- Social Media ‘Like’ requests
Important Notifications
This reason is for campaign that do not require GDPR or Marketing Consent.
Some examples of this include:
- Practice updates/Changes
- New patient welcomes
- Aftercare/Pre-op advice
You will now be taken to the campaign dashboard, more information on this can be found in the Campaign Plus dashboard help article.
Your campaign dashboard will look like this. Giving your campaign a unique name will help you identify which campaign is which when you have multiple campaigns running
You can now select ‘Campaign Design’ to access your template options for your campaign.

Patient's Opting Out of Campaign/Marketing emails
Patients will receive an unsubscribe option at the bottom of any marketing email. When unsubscribe is clicked by a patient, EXACT will update within a maximum of 24 hrs and mark the patient as "Opted Out" to Product & Service Information or Promotion so they will automatically be excluded from future marketing campaigns.=
