Using Smart Sections
Add flexibility to your appointment reminders with customisable merge fields or 'smart sections'.
Smart Sections
Providing you with more flexibility in your appointment reminders. Smart sections are customisable merge fields that, when enabled, add content to your communications if an appointment meets certain criteria.
Popular use cases include the addition of information about completing forms when outstanding forms are required for an appointment.
Configuring Smart Sections
- Go to Configure - Automatic Appointment Messages.
- Select the Reminders tab.
- Click the Smart Sections for Appointment Reminders option.
- You can configure these for Teledentistry and Patient Portal in their relevant tabs.
- Select the required tab to configure,
- Each tab has both an SMS and an Email section for each communication option.
- Click into the text section to amend the existing messaging.
💡Tip: As the email section is displayed in raw HTML, copy and paste this into the HTML section of the email editor to make amendments, then copy and paste the edited HTML back to the smart sections. - Save your changes when you have made your updates.
Adding Smart Sections to Templates
Once you have amended your smart sections, you will need to add them to your email or SMS templates.
💡Tip: Take note of the template names in your Reminders tab before closing Automatic Appointment Messages; this will help you locate the correct templates in the next steps.
- Go to Configure - Email Templates or SMS Templates as required.
- Locate and open the template you wish to edit.
- Click View Merge Fields.
- Scroll to the end of the list.
- Or use the dropdown menu to select Smart Sections.
- Select the required merge field, then click Copy Field To Clipboard.
- Paste the merge field where required.
- Save your changes when complete.
Smart Sections Visibility
Teledentistry
Teledentistry smart sections used in appointment reminder templates will only be visible to patients with the appointment category Teledentistry.
Patient Portal
Patient Portal smart sections used in appointment reminder templates will only be be visible to patients with outstanding patient portal forms.
⚠️ Please Note: You may need to remove some email or SMS content from templates to avoid content duplication, E.G. two patient portal buttons. For example if they meet the criteria, the reminder will contain all of the email template content plus the smart section content.
💡Tip: Smart sections require an appointment context so they can only be used for automatic appointment reminders, or emails and SMS sent from the edit appointment functionality.
