Setting email/SMS scheduled sending times
EXACT can be configured to only allow the sending of emails and/or SMS at selected times, this can be useful so you do not disturb patients at times of rest or outside of your practice opening hours.
A delay can also be set for sending (send X number of messages per minute) and stagger your SMS sending. These options are there to ensure patients receive messages at appropriate times and at a pace that the practice can handle.
Please Note: Our SMS provider/s have overrides in place to stop any SMS sending during unsociable hours. This means that any SMS attempting to send overnight between 8pm-8am will not send straight away and instead wait until 8am to be delivered to your patients. |
Configuring your email sending times
- Go to Configure - Email and SMS Setup
- If you email configuration is complete, select Next without changing the first option.
- Click Next to move past your email account setup
- You will now be presented with the Scheduled Send and Receive configuration window.
- Send all mail immediately, when created, EXACT will attempt to send all email without delay

New mail times, configured times will be observed when checking for new email
- To change a days time
- Highlight the day
- Click the bin button to delete
- Click +1 to create a new time
- Perform regular checks every, this setting will check for emails at the entered interval

Checking at specified preset times, will check at the configured times only
- Use the +1 and bin button to add or delete times
- Add a delay between sending each email, the configured number of email per minute will be sent, we advise configuring this to be within your email provider limitations (eg. if you email provider limits you to 500 emails, you will need to divide 500 by the configured time you send your emails within. Commonly 3 emails per minute will not exceed email providers limitations, however, please check with your email provider)
- Click Next until Finish to save your changes.
Configuring your SMS sending times
- Go to Configure - Email and SMS Setup
- If you email configuration is complete, select Next without changing the first option.
- Click Next to move past your email account setup
- Continue to press Next until you reach your SMS Messages windows, the first contains your SMS Provider information, do not edit this, press Next to edit your SMS sending times
- You will now be presented with the SMS Messages configuration window.
- Send all SMS when the list is generated, this relates to bulk messages, such as those being sent via Recalls or Patient Lists, we do not advise this option as you may become inundated with return calls all at once
- Enable staggered SMS sending, as above although this is the advised setting to use. When enabled, Delivery Times configuration will become available for configuration
- Delivery times, these are the times when your SMS will be sent, use +1 to add a new time or the bin button to delete. You cannot edit times, only delete then recreate
- A message should be sent every, this will delay SMS sending to the delayed frequency
- Warn if it will take longer than, a prompt will display when sending all required messages from a patient list will exceed the entered number of days
- Click Finish to save your changes.
