Suggested Searches for Patient Lists
Suggested Searches is a functionality in Patient Lists with pre-created search templates for you to create patient lists without adding search conditions.
💡Tip: Suggested Search options are created per region; therefore, search options may differ between practices when using this feature in different geographical regions.
Patient List Suggested Searches
For common searches, EXACT has the option to create a patient list for a list of searches created by the EXACT team. You can access these in Patient Lists via the Create List option.
Accessing Suggested Searches
- Open Patient Lists via your workspace icon.
- Or Administration - Patient Lists - Create New List.
- Select the Suggested Searches tab.
This will load the current selection of available searches. - Select a search from the list.
💡Tip: Click Details to view all search conditions in the search. From here, you can Edit the search by adding/removing conditions, then Find Patients or Save & Close to save the search to your list of Existing Searches. - Click Find Patients to run the search.
- If there are conditions in the search that contain variables, you will be prompted to select which variant you wish to include in this search.
Available Searches
- Active Patients - Produce a list of all active patients. Effective for auditing the number of patients in your database.
- Active Patients - Marketing - Produce a list of active patients who have opted in for Marketing. Effective for informing patients of new treatments and offers.
- Lapsed Patients - Produce a list of patients not seen since a certain date. Effective for managing your database. When running it will prompt you for the dates; it will default to 2 years, but you can update the From date to change the date range lookup.
- Patients by Birthday - Produce a list of patients with an upcoming birthday. Effective for sending birthday messages. When running it will prompt you for the birthday date.
- Patients by First Visit - Produce a list of patients by their first visit date. Effective for auditing new patients. When running it will prompt you for the first visit date. Enter the range you want to search for.
- Patients by Type - Produce a list of patients by their type 1 or 2 field. Type fields are in the top right of the patient file and can be used to mark patients against custom criteria set by the practice. When running it will prompt you for the type you wish to search for.
- Patients with Appointment - Produce a list of patients by their appointment date. Can be used for many reasons, for example inform all patients with an appointment next week. When running it will prompt you for the appointment dates; it will default to today, but you can update the From and To dates to change the date range lookup. You can also filter by the appointment provider and appointment service.
- Patients with Cancelled Appointment - Produce a list of patients who have had cancelled appointments. Effective for. When running, it will prompt you for the cancellation dates. It will default to 1 week prior, but you can update the From and To dates to change the date range lookup. You can also filter by the appointment provider and appointment service.
- Patients with Failed Appointment - Produce a list of patients who have had failed appointments. Effective for. When running, it will prompt you for the FTA dates. It will default to 1 week prior, but you can update the From and To dates to change the date range lookup. You can also filter by the appointment provider and appointment service.
- Patients with Payor - Produce a list of patients belonging to a certain payor. Effective for sending communications to patients who belong to a certain practice plan. When running it will prompt you for the payor(s) you wish to search. You can select more than one using the multiple option.
- Patients with Provider - Produce a list of patients belonging to a certain payor. Effective for sending communications to a provider's patients. When running, it will prompt you for the provider(s) you wish to search. You can select more than one using the multiple option.
- Patients with Treatment - Produce a list of patients who have had the chosen treatment in a certain time frame. Effective for auditing the number of patients that have had certain treatment or following up with patients that have had treatment. When running it will prompt you for the treatment code and the dates of treatment.

Saving Suggested Searches
Although the suggested searches are stored online by EXACT, you can save these searches so you have them available in your Existing Searches list.
- Open Patient Lists via your workspace icon or Administration - Patient Lists - Create New List.
- Select the Suggested Searches tab.
This will load the current selection of available searches. - Select a search from the list.
- Click Details then Save & Close to add the search to your Existing Searches list.
Editing Suggested Searches
Suggested searches can be tailored to your specific needs, you can also then add the modified search to your Existing Searches list.
⚠️Note: This will not amend the suggested search, but create a custom version saved for your practice, in your searches.
- Open Patient Lists via your workspace icon or Administration - Patient Lists - Create New List.
- Select the Suggested Searches tab.
This will load the current selection of available searches. - Select a search from the list.
- Click Details to view the current conditions.
- Select Add to add a new condition, Edit to alter an existing one or Remove to delete the condition from the search.
- Now you can either Find Patients to run the search straight away or Save & Close to add the search to your Existing Searches and run the search at a later time.
If there are conditions in the search that contain variables, you will be prompted to select which variant you wish to include in this search.
