Pop-Up Notes
In addition to the Notes tab on a patient record, you can add Pop-Up Notes, which are digital sticky notes that pop up when a patient record is opened. Handy for communicating with other members of the practice regarding patients.
Adding a Pop-Up Note to a Patient Record
⚠️ Please Note: The Pop-Up Notes should not be used for clinical information, as information added to this functionality can be deleted. Instead, use the Note button on the Chart tab for clinical information.
- Open the patient record.
- Click the Notes tab.
- Click the +1 button to create a new note.
💡Tip: You can also click the Sticky note icon at the top of the patient record to create a note.- The Add Patient Note screen will open.

⚠️ Please Note: The ability to create and edit Pop-Up Notes can be restricted by security settings. If you cannot access this, please speak to your practice EXACT administrator.
Creating a Pop-Up Note
Once you have opened the Add Patient Note screen;
- Tick the Pop-up Note option.
- You can now select the Colour for the note.
💡Tip: Use selected colours for specific notes to help with quick visualisation of the content of a note, such as: Yellow = General Information, Red = Medical Alert, and so on. - Click the Display Note When... Timing option to choose when the note will appear.
- This option provides the ability to choose if the note will appear when the patient file is opened, when taking payment, when the patient has arrived for their appointment, when booking an appointment, along with some date and user settings.
- With this information selected, you can now create your note by typing into the Notes area or using the Quick Notes in the right column.
Viewing Pop-Up Notes
Once a Pop-Up Note has been saved, it will appear as per the selected settings as well as being added to the main Notes area in the Notes tab on the patient record.
- You can Close a note or select Do not pop-up again on notes to remove them from the screen.
💡Tip: Click the Close all option to close every pop-up note currently on screen. - If you need to view a note that is hidden behind other notes, click the note to bring it to the front.
Additional Information
💡Tip: Deleted notes are still accessible by ticking the Show Audit option on the Notes tab.
