Updating family members and family information
For the purpose of linking patients together into families to aid booking family appointments patients can be grouped into their families.
This can also be used for bill paying (for the head of the family to pay) appointment settings and mailing purposes.
Please Note: Families in EXACT required one head of the family, there can be only one head of a family, commonly the whomever will be attending appointments with the family members and paying for treatment. |

Adding family members
This feature is to be used to create new patients who need to be added to a family, if the patient already exists skip to Adding existing patients to a family.
Tip: The head of the family is the main point of contact, there are several features in EXACT that allow for communications to be sent solely to the head of the family, so ensuring the correct person is set as the head will help when sending these communications. |
- Open the Patient file for the head of the family.
- Locate the section Family Members.
- Click Add Member.
- The Add Patient window will open.
- Enter all the relevant/required patient information
- Family Name, Address and Home Phone will be auto-populated from the head of the family
- Click OK once complete
- The patient file will be created and the patient added to the family group.
Setting the head of a family
Once a family has been created,
- Select any member of the family.
- Locate the patient to be set as head of the family in the Family Members area.
- Tick the box to the left of their name, this patient is now the head of the family.
Adding existing patients to a family
- Open the Patient file for the head of the family.
- Locate the section Family Members.
- Click the Join an existing patient to this family button .
- Search for the patient using the View Patients window
- Click OK when you have selected the patient
- The patient will be added to the family group.
Removing patients from a family
- Open the Patient file for any member of the family.
- Locate the section Family Members.
- Highlight the patient to be removed in this section.
- Click the Remove the selected patient from this family button .
- Confirm you have selected the correct patient and wish to proceed with this at the following prompt.
- The patient will be removed from the family group.
Updating home address or phone numbers
EXACT 13.1003 introduced the option to update one or all family members details when updating a one family members home address or home phone number.
When updating either of these details, when saving you will be prompted with the option to:
- Update this patient only, for all other family members to keep the original details.
- Update all family members who have the old address, to change every family members details.
