Search for a patient record
To help you locate patients information, EXACT has multiple options to search your data, these include,
- The Patient search button provides an in-depth look, allowing for various pieces of data to be entered and searched
- The Sort-by field can be accessed from the Patient file or the Edit Appointment window, this gives you access to the Patient search window
- The Search for recent patients option is available via the drop-down menu to the side of the Patients icon in the workspace, this displays the 20 most recently accessed patient files
Patient search
By using this option you can search for any piece of data entry, any piece that's stored in a patient file, to be searched. The common searches include, patient names, email addresses, phone numbers and elements of addresses.
Tip: Use this search when trying to locate a patient by email address, ensure Include Inactive is checked. This is useful when two patients share an email address that is preventing you from sending an email. |
- Click the Patients button in the workspace or File - Patients.
- Select the magnifying glass.
- The Search Patients window will open.
- Type the information you have in the Filter on box at the bottom of the window
- You can include/exclude inactive patients with the Include Inactive tick box
- As you start typing all patients matching the information entered will appear. The results will auto-refresh as you type.

Sort By field
Next to the patient information box is a drop-down menu with various options available, depending on what information you want to search by, to use this,
- Open the Patients file via the Patients button in your workspace or via File - Patients.
This is also available on the appointment booking window. - Before entering any information, click the drop-down menu to display your options.
- Code, unique number given to patients by EXACT based upon the patients name
- Last Name, patients surname
- Home Phone
- Mobile Phone
- Alt Reference, if this is enabled, this is an alternate reference number given to patients by EXACT (see patient alternate reference (Alt Ref) numbers)
- DOB, patients Date of Birth
- First Name
- Post Code, where a postcode is applicable
- Also Known as, alternative name for the patient
- Other options may also be available depending upon your region (eg, United Kingdom, Australia, New Zealand, etc)
- Once you have selected the desired search option, you can search in the search for information based upon your chosen option.
- To search in this field, enter the information available followed by pressing TAB or CTRL+L on your keyboard or clicking the selection button
- A list of results will appear with the closest match highlighted
Tip: The default format for Code is the first six letters of the patients surname followed by a space then the first letter of their first name. For example, Robert Anderson = ANDERS R. |
Recent Patients
For quick access to recently accessed patient files, you can use the drop-down menu on the Patients workspace icon.
- Locate the Patients workspace icon.
- Click the down arrow.
- A list of the last 20 accessed patient files will be displayed
- Click on a patient to open their patient file
