Introduction

In the last four years, the Ministry of Health (MoH) has made several changes, which could affect MoH claims you generate from EXACT.

These changes include:

• New MoH item codes
• MoH item code description updates
• Inactivate MoH item codes
• Updated Claim Forms

New MoH Item Codes

In July 2016 MoH added four new item codes, to improve the treatment information added to MoH Individual Treatment Reports.

The new MoH item codes must be added one-by-one into your EXACT database.  

The new codes cannot be added automatically as part of the annual fee updates

How to add new MoH Item Codes

1. Click to select the Configure menu
2. Click to select Services from the Configure menu list
3. Click +1 icon to add a new service item
4. In the Code field type ‘DBPBW1’
5. In the Description field type ‘Bitewing Radiographs’
6. Check the select Graphic button
7. Click to select the x-ray camera icon
8. Click the OK button to confirm the graphic
9. Click the Insert a Service Type icon next to the Categories field
10. Click to select MoH Service Category
11. Click the OK button to confirm the Service Category selection
12. In the Payor Code field Type PBW1
13. Click the OK button to save the new item code

Repeat these steps for the following item codes

• PDT1 – Treatment of Periodontal Disease
• SCL1 – Removal of Supragingival Calculus
• RCT5 - Root Canal Treatment and Root Fillings on Permanent Posterior Tooth

Remember to add a Chart Graphic for Root Canal and tick 'Ask for Quantity'

MoH Item Codes Description Updates

The following item codes had a description update in July 2016:

How to update MoH Item Codes Descriptions

1. Click to select the Configure menuC
2. lick to select Services from the Configure menu list
3. Search for item code DBCON5
4. Click the edit icon
5. Update the description field
6. Check to ensure the item code is linked to the MoH Service Category
7. Click the OK button to save the update

Repeat these steps for DBCRN4 and DBRCT1

Inactive MoH Item Codes

The following item codes can no longer be used for MoH treatment plans and claims:

How to inactivate MoH Item Codes

1. Click to select the Configure menu
2. Click to select Services from the Configure menu list
3. Search for item code DBCAL1
4. Click the edit icon
5. In the Description field type 'Inactive Code'
6. Untick List in Chart tab
7. Remove from the MoH Service Category list
8. Click the OK button to save the changes

Repeat these steps for the other inactive MoH item codes

More about MoH Item Codes

If you have been using EXACT for many years, check if any of your MoH item codes include an asterisk (i.e. *CON2/ *FIL1). 
The asterisk will prevent the codes from being added to the MoH claim forms printed from EXACT.

How to remove the asterisk from MoH Item Codes

1. Click to select the Configure menu
2. Click to select Services from the Configure menu list
3. Search for a relevant MoH item code
4. Click the edit icon
5. Update the Payor field
6. Click the OK button to save the changes

MoH Claim Forms

The most recent update of the MoH claim forms was released in July 2019.
These forms are available for any EXACT database which has been updated to a version 13.10 or higher.
To confirm which version of EXACT you have at your practice, click the 'Help' menu and select 'About'.
