Booking and configuring planned treatment from the Workflow
When booking appointments from the Workflow, also known as the To Depart bar, the dentist will need to set the details of the appointment before sending the patient back to reception.

Booking planned appointments from the Workflow
Drag and drop
- Locate a suitable time in the appointment book.
- Click and hold then drag and drop the appointment in the appointment book.
First available time
- Click the date information on the patient entry in the To Depart bar.
- This will change the appointment book date to the first available time, based on the booking interval as set by the provider.
- Drag and drop the appointment into the appointment book to create the booking.
Search
- Click the magnifying glass on the patient entry in the To Depart bar.
- This will open the Appointment Search window.
- Here you can search within the set parameters
Editing the appointment
- Click the book appointment link on the patient entry in the To Depart bar.
- The Edit Appointment window will open.
- Make any changes as required.
Configuring planned treatments in appointment workflow
- Go to Configure - Practice Settings.
- Under Appointment Books, Enable Appointment Workflow should be ticked.
If this is not configuring, see Configuring your appointment workflow. - Click the settings spanner.
- Tick the option Book a planned treatment appointment box.
- Configure the settings under this heading as you require.

Send unbooked appointments to the follow up tab, this is used to send unbooked appointments to a postponement area to deal with later (for example, if the reception team is expected to be exceptionally busy).
- Select Prompt to have the system ask whether to send the unbooked appointment to the Follow Up tab.
- Select Always to send unbooked appointments to the Follow Up tab anyway.
- Select Never if you do not want to configure this option.

Setting the Default booking interval.
When Providers specify appointment requirements, they may include a booking interval (the minimum time required before the next appointment).
These intervals carry through to the display on the Departure List, where EXACT calculates and displays the first available time slot in the appointment book. EXACT uses the default booking interval, unless a Provider manually specifies otherwise. -
Click Next - Finish.
