NHS UDA Manager
The UDA Manager allows you to display a graph of UDA performance against targets.
Accessing the UDA manager
- Go to file - NHS contracts.
- Click UDA manager at the bottom of the screen.
- Or click the dropdown arrow beside the NHS icon in your workspace.
- Select UDA manager from the options.
- Or to default to a specific provider:
- Go to file - providers - view providers.
- Select your desired NHS provider.
- Select the NHS details tab.
- Click UDA manager at the bottom of the screen
Understanding UDA manager
The UDA Manager window will open with the current contract period displayed along with a graph of UDA performance against targets.
Displayed at the top of your UDA manager is the current contract and which provider is currently displayed.
You can use the drop-down arrows to select a different contract period (including future contract performance predicted from current figures), and/or other providers, including all providers on this contract.
- The graph shows your situation up to today with achieved and confirmed UDAs, and the predicted achieved and confirmed figures (in lighter colours) for the rest of the contract period. All these are readily compared against the UDA target line (shown in red).
- Where there is a significant gap between Target and Achieved figures, this may be because NHS Dental Services has allocated fewer UDAs than you claimed.
- The NHS Schedules button allows you to look at the "Disputed UDA/UOA Amounts" screen (derived from the NHS Payment Schedule List) to resolve any claims disputed by NHS Dental Services.
- Next to the button is a figure showing the number of disputed claims, and the total UDAs/UOAs for these claims.
- You can also check open courses to see whether there are any sitting there that can be claimed straight away or sent as FTR ('Failed to Return').
- Where there is a significant gap between Achieved and Confirmed figures that can't be explained by a schedule that hasn't yet arrived, it may be that some claims have been rejected by NHS Dental Services.
- The NHS responses button displays the "List NHS Responses" screen, to help you to find and resolve any rejected claims.
- Next to the button is the number of unresolved responses.
- Any claims that have not been transmitted can be sent using the send claims button.
- The number of unsent claims is reported next to the button.
- You can click the UDA's in progress button to see a report of all open courses.
- The total number of claims in progress is displayed next to the button for the selected provider(s).
- To print the UDA graph and supporting data, click the print graph button.
Targets
UDA Manager works from targets and working hours.
For UDA Manager to work correctly you must ensure that the following information is entered:
- Contract Target.
- Sub-Target for each provider working on the contract.
- Appointment book has the correct working hours for each provider.
- Please note: Although a VT's UDA's do not count against the contract target, when checking UDA Manager, if you select ALL, the VT's working hours will be taken into consideration.
The formula UDA Manager uses to work out the situation today for All and for individual providers:
- Provider Sub-target ·/· Total Hours X Hours passed = Situation Today.
Situation Today, Current Target
EXACT simplifies the calculations as it rounds figures up/down.
Using the help guide figures for example:
The UDAs/Hour figure of 3.6 is slightly wrong to begin with as 60 / 168 = 0.3571428571428571
So it’s being rounded up to 3.6. Naturally the larger the gap between actual figure and rounded up figure the larger discrepancy you will see.
Doing the calculation again with this correct figure to 4 decimal places we get:
UDAs/Hour 0.3571 X Hours Progress to Date 72 = 25.7112
This number matches the number given on the help guide of 25.71 (rounded down).
Tips and Tricks
- VT's are can not be selected individually and as such are not displayed in the performer dropdown menu. They are, however, taken into consideration when all performers are selected.
- EXACT UDA manager and reporting are a guide. SOE always recommend providers use NHS Compass (or similar) to confirm their current UDA progress.
- If you wish to check the total for the overall contact you will first need to add up all the sub targets (not including any VT's), the Total hours and hours passed (including any VT's). You can then apply the formula (above) and this will give you an overall contract situation for today
