Updating Patient Information in Bulk Using Search and Change
Changing patient information for multiple patients in bulk can be performed using the search and change functionality.
Incorrect use of this functionality could irreversible damage to your patient data, please ensure you read and understand all prompts prior to performing any search and change.
Accessing the search and change feature
- Go to Administration - Search and Change.
- This will open the search and change feature and present you with the following options:
- Change patients and/or appointments for a provider who has left, to update information for patients assigned to a provider who no longer works at your practice.
- Change patients to a new payor, can be used to move a group of patients to a new payor.
- Change patients to inactive status, is used to change a patient's active status.
- Transfer booked appointments for a provider having time off, when a provider will be on leave or some other absence from the practice, this option can be used to move their appointments to another provider.
- Set patient contact preferences and SMS status, used for bulk changing contact preferences.
- Rollback previous changes made using this wizard, for when something has gone wrong and you need to reverse your previous changes.
Change patients and/or appointments for a provider who has left
This option is perfect for when you need to change all the patients of one provider to another and/or move their appointments to a different provider.
Change patients to a new payor
When moving a bulk number of patients to a different payor, this option can be used with the additional option of only moving the patients of one selected provider.
Change patients to inactive status
Used when making patients who have not attended the practice since X date inactive to get a clearer idea of your active patients.
Transfer booked appointments for a provider having time off
If a provider is having a prolonged period of time off, for sickness or maternity/paternity or other, this option can be used to move all of the selected provider's patients to a new provider within a selected date range.
Set patient contact preferences and SMS status
This option allows you to change the contact preferences and SMS status of selection of your patients.
Select this option to be able to change the following patient contact preference or SMS statuses.

Tips and Tricks
- EXACT 13.846 made it possible to perform a search and change without performing a backup.
- It is essential you read all warning messages and perform all required tasks, including backups before performing any search and change
- Choose a time when it is suitable for everyone to log out of EXACT when performing a search and change, this removes the risk of data corruption.
- If a temporary staff member is being employed, add them to EXACT before performing the search and change.
- Appointment changes will also move rota blocks, patients and appointments.
- Appointment changes will not move blocks and clinics.
