DAP Referrals
When claiming for a Dental Access Portal or DAP Referral treatment, NHS practices will be required to select the appropriate option on the DAP Referral tab once completing the course of treatment, this includes claiming for failed DAP Referral appointments.
EXACT introduced this functionality in April 2025, to ensure you have this functionality ensure your system is on the latest version of EXACT.
DAP Referrals tab
The DAP Referrals tab is available from April 2025, this tab adds the functionality to select the reason for DAP Referral and enter the date for the failed appointment. The tab is available on the NHS FP17 prompt after TC'ing a course of treatment.
The options available on the tab include;
- Patient was registered with DAP for non-urgent treatment.
- Patient was referred for urgent treatment.
- Date the patient failed to attend their urgent treatment appointment.
Completing and relevant options will transmit the correct codes to the NHS, allowing for your claims to be processed appropriately.
Charting a completed non-urgent DAP appointment
When a patient attends their DAP Referral appointment;
- Chart your services/treatment as standard and charge/TC the course of treatment.
- When completing the FP17 form, tick the option: Patient was registered with DAP for non-urgent option, on the DAP Referrals tab.
- Transmit your claim as usual.
Charting a completed urgent DAP appointment
When a patient attends their DAP Referral appointment;
- Chart your services/treatment as standard and charge/TC the course of treatment.
- When completing the FP17 form, tick the option: Patient was referred for urgent treatment option, on the DAP Referrals tab.
- Transmit your claim as usual.
Charting a failed DAP appointment
To transmit a course of treatment, a claim must contain some form of charted treatment, however, when a patient has failed to attend their appointment, there will be no treatment to chart. To overcome this issue, a new service NHS·FTA-URG-REF has been created, this service must be charted, marked as complete then claimed/TC'd. You will then be able to complete the DAP Referrals tab and claim for your failed appointment.
- Open an NHS course of treatment.
- Chart the NHS·FTA-URG-REF service and mark as complete then charge/TC the course of treatment.
- When completing the FP17 form, tick the relevant option adding the date of the failed appointment.
- Transmit your claim as usual.
Tracking DAP referred patients
You may wish to keep a record of patients that have attended your practice via DAP Referrals, there are two ways to do this within EXACT.
Referral source
Adding a new DAP referral source will enable tracking via the top referral sources report.
To add the new referral source;
- Change the referred by drop-down to other.
- Click in the blank box then select the lined box to the right.
- Select the +1 button.
- Create your new DAP referral source by completing all appropriate details.
- Click OK when complete.
- Inform your team of this new referral source and when to use it.
Patient type
Adding a new DAP patient type will allow you to identify DAP referred patients from the patient record and locate these patients using patient lists.
To add a new patient type;
- Click the first types box then select the lined box to the right.
- Select the +1 button.
- Enter DAP as the new code and enter a description.
- Click OK when complete.
- Inform your team of this new referral source and when to use it.
