Creating a New Service
Services in EXACT are used for all of your treatments.
The services you have configured in EXACT can be as basic or advanced as you wish to setup, this article guides you through the options and how to start creating your services.
Adding a New Service
- Go to Configure - Services/Stock Items - Add New Service (this can also be done via the services menu on the chart screen, right-click then Add or the +1 button).
- You'll be presented with several tabs, depending on the level of configuration required, you may only need to complete the chart item and fees tabs.
- Add a unique Code (i.e EXAM-40) please remember when deciding on a new service code that the service list is sorted alphabetically by default and these cannot be changed/edited once created.
- Enter a Description.
- Under the Chart Item tab.
- Ensure List in Chart Tab is ticked.
- Decide if this is a Lab Item and tick if required.
- The Chart Graphic is set via the drop-down list, select the desired option (this can be edited at a later point). This is the graphic that appears on the tooth chart.
- You can also Set the Colour of the graphic to help identification when charting.
- Select a graphic via the Select Graphic button, this sets what graphic is shown on the services list and quick charting menus, you can also set a colour using the Colour drop-down menu.
- If Denplan is enabled you can set the Denplan Category.
- The NHS Basechart Category is configured using the drop-down menu.
- Click the add category option to add the service to service categories, select a category row then click OK, repeat this for any additional categories, they can only be added to one category at a time.
- Enter a Payor Code if required.
- The Fees tab controls the price of the service.
- The Pricing Method sets how the service pricing works when charting, select an option using the dropdown menu.
- If you wish to be Asked for Quantity when charting, tick this option.
- You can allow or disallow the Editing of fee on chart with this setting.
- Stock Cost Price will be enabled if this is set as a stock item.
- The Fee Schedule will default to your practice default, use the up/down arrows of selection box to select an alternative option.
- Your pricing will differ depending on the pricing method you have selected, enter you default prices in Price 2 (Default), alternatively, you can use Price 1 or Price 3 if your practice utilises these options.
- Add a Service Cost, if required.
Extra Settings
- The Advanced Charting tab is optional.
- Select the Invoice Summary type using the up/down arrows or the selection box.
- Select the Watch Type using the up/down arrows or the selection box.
- Select the Failure Category using the up/down arrows or the selection box.
- Select the Only for Provider to only allow specific provider/s to access the services using the up/down arrows or the selection box.
- Auto Charting Options can be used for EXACT to auto-chart services or custom screens when the service is charted.
- A maximum of five Services can be set, use the up/down arrows or the selection box to select a service.
- Only one Custom Screen can be set, use the up/down arrows or the selection box to select a custom screen.
- Once a custom screen is selected, you can choose how this acts when the service is charted with options to Popup when planned, Popup when completed or you can set the Popup disabled so no popup occurs.
- The Stock Item tab
- Your appointment booking options are configured in your Appt Booking Service tab.
- Tick List in Appointment Book Quick Services for the service to appear on the dropdown list when creating an appointment.
- Click the Appointment Category option then use the up/down arrows of the selection box to select an appointment category.
- Set the default Appointment Length using this field.
- You can add clinical and invoice notes in the Notes tab.
- Any notes you wish to be for internal use only should be added to the Clinical Notes.
- Information you wish added to invoices/estimates should be added to the Invoice/Estimate Notes.
Tricks and Tips

If you wish for a provider to have a different fee scale to the practice, you can use the price 1 or price 3 options.
For example, if you have trainee graduates working in your practice, the fee scale would probably be lower for the trainee than for the principal dentist. An alternative to setting different prices for service is to have a separate fee schedule per provider.
- When creating a service item you can load the usual fee. The price can usually be changed while creating a treatment plan by the provider. However, some pricing methods will not allow the provider to change the price while charting, regardless of security permissions, so only use these pricing options for fees that will not need to be adjusted.
- The Pricing Methods By Jaw, By Tooth, Filter by Group, Per Appointment, Per Plan all lock fees.
- EXACT V13.795 introduced the ability for all users to view the e|d, add and delete icons to the service list window. Any user without high enough security access who tries to select one of these options will be presented with the following warning.
