Creating Stock Items
Stock items are items you sell to a patient without the requirement for treatment.
These can be sold from the Transactions feature or by Charting.
Creating stock items
- Go to Configure - Services/Stock Items - Add New Stock Item.
- You can also add services via the payment functionality in EXACT. This can be done by clicking the +1 option next to the Stock Items area of the payment area.
- Add a unique Code (i.e £BRUSH MED) in the code field at the very top of the screen.
- Please remember when deciding on a new service code that the stock list is sorted alphabetically by default and these cannot be changed/edited once created.
- We advise starting the Code with the same character as your other stock items.
- Enter a Description.
- As you've clicked Add New Stock Item, you'll be taken directly to the Stock Item tab.
- Tick the box List as Stock Item.
- If you allow discounting, tick Discount allowed.
- You can add the Number in Stock, to help track your stock levels, this number will change as stock is sold.
- The Full Stock Number can be used to keep track of your preferred stock levels and can be used when you need to reorder more stock.
- You can also add the Barcode Number if you use these.
- Select the Fees tab at the top of the window.
- You can tick Ask for Quantity if you need this option.
- You can add the Stock Cost Price.
- Enter your sales value into the Price 2 (Default).
- Click OK when complete, the item will now appear in the stock list via the transactions window.
Additional options
Select the Advanced Charting tab.
- Select the Invoice Summary type using the up/down arrows or the selection box. This can help when using the invoice summary report by grouping stock items on the report.
- Select an invoice category (if a relevant option exists) or click the [+1] button and type a description, e.g. STOCK.
- Then click the OK button.
- Re-use this option for all stock items as required.
- Select the Watch Type using the up/down arrows or the selection box, this is useful when charting stock items on the patient's Chart instead of the Transactions screen. This can help you track all previous stock sold to the patient.
To display stock items in the Patients Chart Tab you must place a tick in the List in Chart Tab box
