NHS Datasets and Service Codes
Datasets attach information to a service, required by the NHS when claiming for NHS treatment. Without this information or with the wrong dataset (information) attached, claims may be rejected.
FP17/O Datasets
Each NHS service or service to be charted as part of an NHS course of treatment must have a dataset assigned to it. By assigning a dataset to a service, this means it can be used for NHS treatment, as the information transmitted as part of a claim is set by the dataset and not the service description.
⚠️Please Note: In alignment with NHS dataset updates, you will need to assign/update these to your NHS services accordingly. Contact your NHS team for guidance on this.
Banding Validation Checks
Dataset information should align with the banding assigned to a service, if these do not match, a warning prompt will display onscreen to alert you of the issue. The warning is intended to prevent claims being rejected.
If you are presented with this warning prompt, you should check the assigned dataset using the steps outlined in this article and the assigned banding.
💡Tip: If your urgent treatments are presenting a different banding to your requirements, you must check that the dataset is set to other and the banding to urgent.
Configuring Services, Datasets & Categories
⚠️ Please Note: Depending on your level of security access, some steps in this article may not be accessible. If you are unable to follow any of the steps in this article due to security access, please refer to your practice administrator.
- Services are the treatments that you chart.
- Categories contain services, making it easier for you to locate the services you need.
- Datasets are assigned to services, and when transmitting, they assign information required by the NHS to process a claim.
Assigning a Data Set to a Service
- Open a patient record.
- Open the Chart tab.
- Select the Service List tab.
- You can also access this via Configure - Services/Stock Items - View Services
- Find the required service.
- Click the service once, then select the e|d (edit) button in the lower right.
- This will open the Edit Service Item functionality.
- The Chart Item tab provides you access to the FP17/O Data Set dropdown menu. Click the dropdown to select the required dataset.
- You can also edit which categories the service appears in. Read more about categories in the Adding a Service to a Service Category help article.
- Once you have made your changes, click OK.
💡Tip: If you are in the process of charting the service, you will need to delete and rechart the service for the new dataset to be attached to the claim.
💡Tip: Add your NHS service codes to service categories like “Favourites” or “NHS Favourites” helps you use the correct codes with the appropriately assigned data sets.
Incorrect Dataset Claims
Claims with incorrect datasets will often be rejected, or you may be paid the incorrect amount for the claim.
As an example,
- If a claim has an Examination and a Denture charted, where the Examination has the Examinations dataset assigned and the Denture has the Other dataset assigned. You would only be awarded 1 UDA for the Examinations dataset as the NHS will be unaware of the Denture, due to the Other dataset.
- To correct this, the dataset assigned to the Denture should be changed to the correct dataset.
Additional Information
💡Advanced Perio RSD is a dataset that allows you to chart per course of treatment instead of per tooth, you must use the Advanced Perio Root Surface Debridement (9339) service for this. For more detail on this, read the NHS Dataset for Advanced Perio RSD help article.
