Email configuration - Microsoft Office 365 (OAuth 2.0)
Modern Authentication or OAuth 2.0 is the new, secure way to connect your Microsoft Outlook email account to third party applications such as EXACT.
Gmail are introducing changes in February 2024, the changes affect anyone sending email communications to Gmail accounts. Information on the changes and what actions are required can be found in the Gmail Email Sender Guidelines. We advise you to contact your email or IT support provider to assist with the required changes. Due to the access and configuration required, Software of Excellence are unable to assist with any changes. |

Why are changes being made in EXACT?
In September 2021 Microsoft announced that Basic Authentication for Office 365 and Outlook will be disabled on 1st October 2022 with Modern Authentication being the chosen method of connection.

Configuring an Outlook email account
- Access Email configuration via Configure - Email and SMS Setup.
- Select Microsoft Office 365.
- The following window may be pre-populated with your credentials, enter them if not and press Authenticate.
Tip: If you would like a specific name to appear instead of your email in a recipients inbox enter your Practice Email Address in the following format "Name" <youremail@outlook.com>
- You may be prompted to select your admin or primary alias account, if not shown please select Use another account to enter these credentials.
- A Microsoft Windows prompt will appear, you will need to confirm you wish for EXACT to have access to your email account.
- If prompted, please enter the password for the email account (this will be the one noted from the original window in EXACT.
Some accounts have 2-Factor Authentication enabled, depending on the account set up you may be prompted to send a code via SMS, confirm a number on your device or authorise the sign in using an authenticator app. Examples below.
- Select Next until the end of the wizard and click Finish to save all changes
- Once you have entered the password or code/confirmed in the authenticator app a green tick will appear in the email credentials window in EXACT.
A red cross indicates the connection has not been successful, if this is displayed please view the following resolutions.
- Select Next until the end of the wizard and click Finish to save all changes.
Reset Mailbox Counter
This counter is used on the occasion that an entire mailbox is required to be re-downloaded to EXACT. An example of this would be when moving from a POP3 account to IMAP. Essentially this will re-download all emails, otherwise the counter will only retrieve new emails from your mailbox into EXACT.
Note: This action can only be performed by an EXACT administrator. If signed in as an administrator your credentials wil pre-populate in the fields otherwise these will appear with no credentials and require entry. |
Unlicensed Email Accounts (using the primary alias account credentials)
The following error occurs when an unlicensed email account is being used for configuration, this can be resolved by following the steps below.
- Access www.office.com to open the website and log into your Office 365 admin account.
- Access the admin centre by selecting the squares in the upper left, followed by Admin.
- Navigate to Active Users, this will display users and their current license state.
- If the user you are attempting to log in with is unlicensed you will need to purchase a license or transfer one from another account. Navigate to License and apps to view available licenses.
- Navigate to Mail then click Manage email apps to confirm IMAP and Authenticated SMTP are both ticked.
- Once this has been completed, complete configuration of your email account in EXACT again.
Authentication and re-authentication
Microsoft email accounts use an authentication token to allow connection via modern authentication (OAuth). To ensure any software connected to an email account is secure, it is required for these tokens to expire. When this occurs, re-authentication is necessary.
EXACT will alert admin users via a pop-up message to re-authenticate. When this message appears, click Re-authenticate Now, following the on screen steps to ensure your practice can continue to send and receive emails.
Script Error
The following error has been found to be caused by incomplete tasks awaiting completion within an Office 365 account.
- Access www.office.com to open the website and log into your Office 365 admin account.
- Confirm any Microsoft prompts.
- Once logged into your admin account, select Outlook on the left of the website and confirm any Microsoft prompts.
- Once this has been completed, complete the configuration of your email account in EXACT again.
