Care Manager
Find opportunities with Care Manager. Locate patients with open (incomplete) courses of treatment that were opened within the last 365 days without an upcoming appointment in the next 90 days.
Accessing Care Manager
Add Care Manager to your workspace or open it through your menus: Administration - Care Manager.
Viewing Opportunities
When opened, a list of all opportunities will display on screen, along with all relevant information, including patient names, providers, Payors and COT numbers, and more.
Click on the column headings to order the list by the selected heading, for example, view by last updated date or highest value first.
Click a description to open the patient record in a pop-up window to view the treatment.
Filtering Care Manager
Click on the Filter button in the lower right to access filters and narrow down your search criteria.
Tick or untick options to change the type of opportunities displayed.

Contacting Patients in Care Manager
Highlight a row, then click the Contact button at the bottom of Care Manager to access the contact functionality.
- Select an opportunity, then click the Contact button to send an Email or SMS.
- Or contact the patient by phone and click the phone number in Care Manager to record notes about the call.

Booking Appointments Using Care Manager
Book appointments straight from Care Manager by clicking on the row for the required patient, then clicking Book. The Appointment Book will open with the Edit Appointment prompt ready to create the appointment.
- Select an opportunity, then click the Book button and then book an appointment.

Rejecting Opportunities
Use the Reject option to register that a patient no longer wishes to proceed with their treatment.
- Select an opportunity, then click the Reject button.

⚠️ Note: Rejecting an opportunity in Care Manager does not affect the Course of Treatment, only the opportunity in Care Manager.
Reopening Opportunities
⚠️ New for June 2025: This new functionality was introduced in June 2025.
Use the Reopen option to change rejected opportunities to open.
- Select an the Rejected status in your filter, select the opportunity, then click the Reopen button.

Snoozing Opportunities
Use the Snooze option to mark an opportunity as currently not available. The snooze functionality will remove the patient and treatment from view on Care Manager until the selected date has passed.
- Select an opportunity, then click the Snooze button and then select the snooze-to date.

Assigning Opportunities to Another User
Opportunities can be assigned to other users, allowing your team to action and book appointments for the assigned opportunity.
- Select an opportunity, click the Assign button and then select the required user.

💡Tip: With the Care Manager workspace option enabled, you can be alerted to opportunities that need to be actioned and view the opportunities assigned to you.
